Job Summary
We are seeking a dynamic and detail-oriented Event Coordinator to manage and execute a variety of events, including corporate functions, weddings, banquets, and community gatherings. The ideal candidate will possess strong organizational and communication skills, with experience in event planning, marketing, and hospitality. This role involves coordinating all aspects of event logistics, vendor relations, and guest services to ensure seamless and memorable experiences for clients and attendees.

Responsibilities

  • Plan, coordinate, and oversee all phases of events from inception to completion, ensuring alignment with client objectives and budget constraints.
  • Negotiate contracts with vendors, venues, caterers, and other service providers to secure the best terms.
  • Develop and implement marketing strategies to promote events and increase attendance through various channels.
  • Upsell additional services such as catering, entertainment, or decor to enhance client satisfaction and revenue.
  • Manage event budgets, track expenses, and ensure cost-effective operations without compromising quality.
  • Coordinate event logistics including venue setup, catering arrangements, audiovisual needs, and guest accommodations.
  • Maintain excellent customer service by addressing client inquiries promptly and providing personalized assistance throughout the planning process.
  • Oversee event day operations to ensure smooth execution, including supervising staff and managing timelines.
  • Handle contracts and agreements with clients and vendors while ensuring compliance with organizational policies.
  • Collaborate with marketing teams to develop promotional materials and execute event marketing campaigns.
  • Ensure adherence to health and safety regulations during all phases of event planning and execution.

Requirements

  • Proven experience in event planning or management within hospitality, restaurant, hotel, or fundraising environments preferred.
  • Strong negotiation skills with the ability to secure favorable contracts and vendor agreements.
  • Excellent marketing acumen with experience in event marketing strategies.
  • Demonstrated ability in upselling services to maximize revenue opportunities.
  • Exceptional organizational skills with keen attention to detail and time management capabilities.
  • Outstanding communication skills for effective collaboration with clients, vendors, and team members.
  • Experience in banquet management or guest services is highly desirable.
  • Ability to manage multiple projects simultaneously while maintaining professionalism under pressure.
  • Knowledge of budgeting principles related to event management.
