The Sales & Marketing Coordinator will play an essential role in providing administrative support to the Sales & Event Department. This position will have the opportunity to build and enhance our Sales efforts in a support role for all managers in the department. Candidates must have excellent communication, problem solving, organization and follow-up skills with the ability to handle multiple assignments simultaneously. Candidates should demonstrate good judgement as well as a high level of attention to detail while working well with a team.
The Sales & Marketing Coordinator will assist Sales & Event Managers and the Director of Sales & Marketing with individual sales and marketing initiatives for Group, Village wide, and leisure business, as well as support Hyatt initiatives. This position will assist in the full cycle of the sales process and coordinate and interface with all departments.
Essential Support Functions:- Merging and formatting standard and custom Group Proposals for Sales & Event Managers.
- Merging and formatting standard, custom and MSA Group Contracts for Sales & Event Managers.
- Creating Site Visit agenda’s, welcome gifts, internal and external calendar items via BOB, pre-arrival site visit preparation checklist (inspect guest rooms, event spaces, and confirm dining arrangements.)
- Creating thank you cards for customers and coordinating non-definite group VIP and arrival and stay process.
- Coordinating communication between the Sales Office, Front Desk, Engineering and Food and Beverage.
- Monitoring the Sales Department inventory of Office Supplies, Sales Packets & Catering Menus.
- Maintaining organization of office group files that meet or exceed audit purposes.
- Monitor and compile expense reports by managers as needed.
- Create and update Hyatt sales & marketing collateral templates in Canva & Publisher & other graphic design software as needed.
Other Responsibilities:- Attend Daily Stand up Meeting and other departmental meetings as assigned.
- Project a professional company image through in-person, email and phone interactions.
- Perform general clerical duties including information flow in support of sales team.
- Manage confidential information with discretion and respect of privacy to high profile guests
- Help Sales Managers with finalizing contracts
- Assist with photo shoots
- Assist with marketing materials
- Assisting Sales Managers with lead management
- Other tasks as assigned by the Director of Sales & Marketing and General Manager

The starting pay for this position is $23.00 per hour. Actual pay will be commensurate with experience. This position will be based onsite Monday - Friday 9:00AM - 5:00PM.

Qualifications
- Excellent attention to detail and exceptional organizational and time management skills
- Must be results- oriented and able to convey data-based information and ideas clearly
- Must be effective in handling problems in the workplace, including identifying, anticipating, preventing and solving problems as necessary
- Refined verbal and written communication skills
- Must be proficient in general computer knowledge with advanced excel skills
- 2+ years Hotel experience preferred
- Knowledge of Hyatt's reservation systems and procedures preferred
- Envision knowledge preferred
