Position Purpose:
To oversee the planning and performance of all events, from small-scale gatherings to large-scale conferences and forums. The Head of Planning & Performance is responsible for leading a team to ensure effective resource coordination, manpower planning, event schedules and timely delivery of strategic outputs such as post-event reports, surveys, and operating models. This role plays a critical part in driving efficiency, consistency, and excellence across the events department.
Key Responsibilities:
1. Strategy & Planning

Co-develop the event management strategy by translating organizational needs into coherent plans with clear objectives, measurable results, and cascading projects.

Define project scopes in collaboration with Event Managers, ensuring alignment with business needs and priorities.

Establish and maintain strong relationships with key vendors, suppliers, and partners to secure favourable contracts and ensure resource availability.

Conduct market research and competitive analysis to identify trends, emerging technologies, and opportunities to enhance event delivery.
2. Budget

Prepare & recommend the event portfolio budget in alignment with annual business plans.

Monitor financial performance, identify variances, and implement corrective actions to optimize cost efficiency and maximize results.

Lead manpower and resource planning across the department, ensuring optimal utilization of talent and assets.
3. Event Management

Oversee the planning and closure of the event cycle, including project schedules, task structures, timelines, budgets, and risk management plans.

Lead the development of roadmaps and work plans for each event, ensuring clarity of activities, dependencies, and stakeholder responsibilities.

Ensure proper policies, procedures, and communication protocols are in place for effective collaboration internally and externally.

Collaborate with internal departments to define event goals, KPIs, and success metrics.

Act as an escalation point to resolve challenges and ensure seamless event delivery.

Support event delivery during peak times when required.
4. Performance Measurement & Reporting

Establish and track KPIs to monitor the performance and impact of events against strategic objectives.

Supervise the preparation of timely, accurate reports including event progress, financial performance, attendance, and impact assessments.

Oversee post-event surveys, evaluations, and reports, providing insights and recommendations for continuous improvement.

Implement and maintain event management systems and tools to streamline planning, enhance efficiency, and improve productivity.
5. Leadership & People Management

Lead, mentor, and develop a team of event planners, coordinators, and support staff to build a motivated and high-performing workforce.

Set team priorities and objectives, monitor performance, and provide continuous feedback and coaching.

Promote a culture of collaboration, accountability, and innovation within the department.
6. Policies, Processes & Continuous Improvement

Recommend and implement improvements to event management policies, procedures, and controls to ensure quality, compliance, and efficiency.

Identify and drive continuous improvement initiatives to enhance planning methodologies, reporting frameworks, and operational practices.
Qualifications:
-
8 – 12 years in Project Management including at least 5 years in positions of increasing managerial responsibilities.

3-5 years’ experience in Event Management.
-
Proficiency in event management software and tools.
