Position Summary
The Office Manager & Events Coordinator plays a key role in ensuring the smooth daily operations of the ProSource Experience Center. This individual will oversee administrative and hospitality functions, manage inventory and supplies, coordinate logistics for meetings and events, and support marketing and communication efforts that enhance the member and vendor experience.
This is a highly visible, hands-on role that requires exceptional organization, communication, and multitasking skills - ideal for someone who thrives in a dynamic, fast-paced environment.
Key Responsibilities
Office Management & Operations
- Serve as the main point of contact for visitors, members, and vendors, greeting and hosting guests to create a professional and welcoming environment.
- Manage inventory, order supplies, and ensure the office and Experience Center are fully stocked and well-maintained.
- Coordinate with vendors for maintenance, deliveries, and daily operational needs.
- Oversee incoming and outgoing mail, shipments, and office correspondence.
- Maintain a professional and polished office appearance that reflects the ProSource brand.
Event Coordination
- Plan and execute on-site and off-site events, including training sessions, vendor meetings, and other industry experiences.
- Coordinate event logistics such as travel arrangements, hotel room blocks, ground transportation, catering, and AV needs.
- Support guest arrivals and departures, ensuring a seamless event flow and positive attendee experience.
- Manage event setup and teardown, ensuring all materials, signage, and equipment are prepared and organized.
- Create and execute event promotion, communication, and post-event follow-up.
Marketing & Communication
- Assist in drafting and distributing member and vendor communications via email communications.
- Manage social media channels to highlight events, trainings, and other activities.
- Support content collection (photos, videos, testimonials) for marketing use.
- Coordinate with vendors and internal teams on marketing materials and promotional initiatives.
Qualifications- 1 - 3 years of experience in office management, event coordination, or administrative support (hospitality or marketing background a plus).
- Exceptional organization and time management skills, with the ability to handle multiple priorities simultaneously.
- Strong verbal and written communication skills; polished, professional demeanor.
- Proven experience managing vendors, logistics, and client-facing interactions.
- Proficient in Microsoft Office Suite, project management or event planning tools (e.g., Swoogo, Brella, Monday.com).
- Experience in using newsletter communication tools (e.g. Beefree, Pardot)
- Comfortable with social media platforms (LinkedIn, Instagram, Facebook) and basic content creation or scheduling tools.
- Ability to lift and move supplies or equipment as needed for event setup.
- Must be based in or able to commute to Golden, CO.
