Job Summary:
The Project Administrator will be responsible for assisting project managers and teams in the day-to-day operations of various projects. This role will involve coordinating tasks, maintaining project documentation, scheduling meetings, preparing and managing quotations, and ensuring all deadlines and deliverables are met.
Key Responsibilities:
- Administrative Support: Provide administrative assistance to project managers and teams by preparing project documentation, tracking progress, and managing project schedules.
- Quotation Management: Prepare, manage, and track quotations for clients, ensuring that they are accurate and meet client specifications. Follow up with clients as needed and ensure timely submission of proposals.
- Project Coordination: Assist in coordinating project resources, meetings, and logistics to ensure efficient project execution.
- Documentation: Maintain accurate records of project progress, deliverables, quotations, and key milestones. Ensure all project documents are properly filed and up to date.
- Communication: Act as a point of contact between project teams, stakeholders, clients, and vendors. Facilitate communication to ensure smooth collaboration.
- Scheduling & Reporting: Assist in scheduling meetings, preparing reports, and tracking project timelines and budgets.
- Budget Tracking: Monitor project budgets and ensure expenditures align with project forecasts.
- Risk Management: Help identify potential risks and issues within projects and escalate them to the project manager.
- Continuous Improvement: Contribute to the improvement of project management processes and methodologies.
Qualifications:
- Proven experience as a Project Administrator or in a similar administrative role.
- Strong experience with preparing and managing quotations and proposals.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in project management software (e.g., Microsoft Project, Asana, Trello, etc.) and Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work independently and manage multiple tasks in a fast-paced environment.
- Familiarity with project management methodologies (e.g., Agile, Waterfall) is a plus.
- Strong problem-solving skills and ability to handle unexpected challenges.
- A degree in business, project management, or a related field is preferred.
