Position Overview
The Events, Marketing & Catering Coordinator is responsible for planning, organizing, and executing events while supporting marketing campaigns and managing catering operations. This role ensures seamless event logistics, effective communication with clients and vendors, and the delivery of high-quality catering services. The coordinator works closely with the events, sales, and marketing teams to enhance brand visibility, improve customer experience, and drive revenue.
Key Responsibilities
Event Coordination
- Develop and manage strategic collaborations with other companies to create joint events, promotional activities, and partnership opportunities.
- Plan and execute engaging social events for customers, ensuring memorable experiences that align with brand goals.
- Coordinate and participate in large-scale events, trade shows, festivals, and community activations to increase visibility and customer engagement.
- Oversee all event logistics, including scheduling, vendor communication, setup, and on-site management.
- Ensure consistent branding and high-quality customer experience across all events.
Catering Management
- Coordinate catering orders from initial inquiry through event completion.
- Assist in menu planning, pricing, and customization for client needs.
- Communicate catering requirements to kitchen and service teams.
- Track inventory, equipment, and supplies for catered events.
- Ensure compliance with food safety and service standards.
- Handle billing, invoicing, and post-event follow-up.
Marketing Support
- Assist in planning and executing marketing campaigns, promotions, and special initiatives.
- Create content for social media, newsletters, and event materials.
- Support website updates, event listings, and digital communications.
- Maintain marketing calendars, reports, and brand collateral.
- Coordinate photography, videography, and post-event marketing assets.
Client & Administrative Support
- Provide excellent customer service to clients, guests, and stakeholders.
- Maintain event records, contracts, catering orders, and client databases.
- Manage budgets, expense tracking, and vendor invoices.
- Prepare proposals, contracts, and event summaries.
- Handle day-to-day administrative tasks related to events and marketing.
Required Skills & Qualifications
- Proven experience in event planning, catering coordination, hospitality, or marketing.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work under pressure, handle multiple projects, and meet deadlines.
- Proficiency in MS Office, event management software, and social media platforms.
- Professional demeanor and exceptional customer service skills.
- Ability to work evenings, weekends, and holidays as needed.
