Job Overview:
The Event & training Coordinator will play a crucial role in the successful planning and execution of events by acting as the key liaison between the Event & training Manager and Marketing Manager. The position is responsible for coordinating all logistical aspects of events training, ensuring seamless communication between teams, and supporting marketing efforts to promote events effectively. The ideal candidate is highly organized, detail-oriented, and has a strong ability to manage multiple tasks in a fast-paced environment. He will also be responsible for identifying and prospecting potential sponsors for events. Focusing solely on sales outreach, the SDR will generate leads, engage with prospects, and qualify sponsorship opportunities.
Key Responsibilities:
  • Liaison Between Teams:
    • Act as the primary point of contact between the Event Manager, the training manager and Marketing team, ensuring that all communication regarding event planning, promotion, and execution is clear, timely, and accurate.
    • Ensure alignment between the event logistics and marketing strategy to create a cohesive experience for attendees.
  • Event & training Planning & Coordination:
    • Assist in the planning and execution of events, including corporate events, conferences, and special occasions.
    • Coordinate with vendors, venues, and suppliers to ensure all event logistics are in place.
    • Assist with booking venues, negotiating contracts, and arranging accommodations and travel when necessary.
    • Create and maintain event timelines and checklists to ensure deadlines are met.
  • Marketing & Promotion Support:
    • Collaborate with the Marketing Manager to support the creation of event promotional materials such as flyers, social media posts, and email campaigns.
    • Assist in maintaining event websites, registration portals, and promotional schedules.
    • Ensure event branding is consistent across all materials and platforms.
  • Budget Management:
    • Work with the Event Manager to track event expenses, ensuring that all costs stay within budget.
    • Prepare budget reports and reconcile event-related expenses post-event.
  • On-Site Event & training Management:
    • Assist in the setup and breakdown of event spaces, ensuring all materials, equipment, and supplies are in place.
    • Coordinate and manage event staff and volunteers during events.
    • Troubleshoot any issues that arise during events, ensuring a smooth experience for attendees.
  • Post-Event Evaluation:
    • Assist in gathering feedback from attendees, stakeholders, and team members after each event.
    • Prepare post-event reports to analyze event success, marketing efforts, and budget adherence.
    • Suggest improvements for future events based on feedback and data.
  • Vendor registration & Due Diligence process
    • In charge of vendor registration & Due diligence process within the system
  • Sales Development Representative :
    • Conduct research to identify potential sponsors and target companies for event partnerships.
    • Engage with prospects through outbound calls, emails, and social media to build relationships and introduce event sponsorship opportunities.
    • Qualify leads and schedule meetings for the senior sales team to close sponsorship deals.
    • Maintain and update CRM systems with prospect information, activities, and sales progress.
    • Collaborate with the sales and events teams to ensure sponsor needs are aligned with event offerings.
