Company Background/Overview
In 2024, OSC Global, LLC was formed as a wholly owned subsidiary of Cook Inlet Region, Inc. (CIRI), an Alaska Native Corporation. CIRI’s mission is to promote the economic and social well-being and Alaska Native heritage of its Shareholders, now and into the future, through prudent stewardship of the company’s resources, while furthering self-sufficiency among CIRI Shareholders and their families.
OSC Global, LLC is a parent company to a family of companies that provides IT/cyber enterprise management and professional services to support federal, state, and commercial customers. OSC Global and its subsidiaries employ approximately 500 professionals in the United States and seven other countries.
Position Overview
The Executive Administrative Assistant provides high-level support to the President & Chief Executive Officer (CEO), other executives and the Board of Directors, as needed. This position is primarily responsible for managing complex scheduling, logistics, executive communication and preparation, distribution and record-keeping of governance materials.
Key Responsibilities
Executive Administrative Support
- Provide comprehensive support to the CEO and executives, including scheduling, travel, correspondence and meeting preparation.
- Draft, edit, proofread and prepare professional correspondence, memoranda, reports and presentations.
- Arrange travel, accommodations and meetings logistics (in-person and virtual).
- Schedule and attend meetings with or on behalf of executives, take accurate notes and manage related videoconferencing needs.
- Receive, review and prioritize incoming communications; summarize and distribute content as appropriate.
- Coordinate and manage daily schedules and calendars.
- Prepare and reconcile monthly expense reports and process invoices.
- Support the executive budgeting process in coordination with finance staff.
- Manage databases and maintain accurate records to support executive operations.
- Work collaboratively on special projects.
Board Support and Special Projects
- Provide support for Board of Directors and Committee meetings, including logistics, agenda development, material preparation and timely distribution.
- Perform Board related tasks including:
- Compile and draft board and executive reports, ensuring accuracy and consistency.
- Serve as recording secretary for meetings as needed; prepare accurate minutes and maintain official records.
- Maintain and update the Board portal, ensuring information is current and accessible.
- Assist with compliance filings, governance deliverables and director onboarding.
- Support planning and execution of annual Board retreats and special events.
- Work collaboratively with executives, legal staff and project teams on special assignments.
- Coordinate executive communications with internal and external stakeholders.
- Perform other duties as assigned to support the CEO, Board and executive leadership.
Knowledge/Skills/Abilities
- Understand OSC Global’s strategic focus areas and incorporate knowledge into daily activities.
- Ability to manage priorities; make decisions, resolve challenges, and exercise sound judgment.
- Strong clerical and administrative skills.
- Excellent oral and written communication skills. Superior editing, proofreading skills and a thorough knowledge of proper grammar, advanced vocabulary and spelling, including the Associated Press (AP) style guidelines, required. Knowledge of, or willing to learn, AP’s Stylebook for Alaska.
- Work independently as well as on a team, and with minimal supervision.
- Work well under pressure.
- Exceptional attention to detail and ability to multi-task in a fast-paced environment.
- Maintain a high degree of discretion with sensitive and confidential company and employee information.
- Excellent interpersonal skills; ability to work effectively and collaboratively with all levels of management and staff, affiliated-company employees as well as outside business associates or general members of the public; exhibit a professional manner in dealing with others.
- Maximize utilization of available resources to collaborate on projects. Recommend and implement innovations to increase efficiency.
- Proficient with Microsoft Office suite of programs, and industry-standard software and databases. Experience coordinating logistics for both large in-person and online meetings.
- Ability to safely operate a motor vehicle and travel by airplane.
Physical Abilities
- Sufficient fine motor skills for use of computers and calculators with an ability to withstand repetitive keyboarding for extended periods of time.
- Visual and communication ability sufficient to perform the essential functions of the job.
- Ability to kneel, bend and twist at the waist on an occasional basis.
- Ability to reach below shoulder height with regular frequency (desk position) and at or above shoulder height on occasion.
- Ability to safely operate a motor vehicle and travel by airplane.
- Ability to push, pull, carry and lift objects weighing up to 20 pounds on a regular basis, and greater weights on an occasional basis.
Minimum Qualifications
- Some college, associate’s degree or Paralegal Certification; Bachelor’s degree preferred.
- Five (5) years’ progressively responsible executive administrative assistant support experience.
- Experience supporting boards, governance processes or legal/administrative functions strongly preferred.
- Ability to pass background screening.
- Occasional travel required.
