Job Summary:

The Executive Administrative Assistant provides high-level executive support while contributing strong analytical and operational capabilities to the organization. This role serves as a trusted partner to executives, managing complex administrative functions, supporting data-driven reporting, and ensuring seamless coordination of executive priorities.

The Executive Administrative Assistant ensures smooth daily operations by coordinating communications, managing executive calendars and scheduling logistics, preparing reports and presentations, and supporting special projects and strategic initiatives - including construction and development initiatives.

The ideal candidate brings advanced technical proficiency, exceptional organizational skills, and the ability to handle complex, time-sensitive responsibilities with discretion and professionalism.

Essential Duties & Responsibilities:

  • Data Analysis and Reporting: A proven capability to analyze diverse data sets, interpret findings, and create comprehensive reports.
  • Advanced Spreadsheet Proficiency: Expertise in developing and maintaining complex spreadsheets (e.g., utilizing pivot tables, advanced formulas, and data visualization techniques) for operational reporting and tracking.
  • Advanced Computer Software Skills: Exceptional proficiency across all standard office software, with a particular emphasis on the ability to create, edit, and deliver professional-quality PowerPoint presentations for internal and external stakeholders.
  • Complex Calendar and Schedule Management: The ability to effectively manage and synchronize intricate calendar schedules for multiple executives or project leads, often involving time-sensitive coordination and prioritization across different time zones or logistical constraints.
  • External Relations and Government Interaction: A mandatory requirement is a solid history and professional experience in interacting directly with the public and/or local government officials. This includes managing correspondence, preparing necessary documentation for government review, and representing the organization professionally in these interactions.
  • Perform other duties as assigned.

Job Qualifications:

  • While not strictly mandatory, knowledge of or a background in project management methodologies and tools is strongly preferred.
  • Associate or Bachelor’s degree in Business Administration, Construction Management, or a related field preferred.
  • 3+ years of administrative or operations support experience, preferably supporting leadership or construction/operations teams.
  • Experience handling confidential information and exercising independent judgment.

Skills:

  • Excellent verbal and written communication skills, with the ability to interact professionally with executives, employees, and external stakeholders.
  • Strong organizational, planning, and time-management skills, with exceptional attention to detail and the ability to prioritize tasks effectively.
  • Ability to maintain discretion and exercise professionalism when working with leadership and handling sensitive information.
  • Strong analytical and problem-solving skills, including critical thinking and active listening.
  • Proficiency with Microsoft Office Suite (or similar tools) and knowledge of standard office equipment.
  • Familiarity with clerical and administrative procedures, filing systems, record-keeping, and basic office management principles and practices.
  • Ability to work both independently and collaboratively within a team.
  • Friendly, polished, and service-oriented demeanor suitable for an executive-facing environment.

Physical Demands:

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; talk or hear. The employee frequently is required to stand, walk, and sit; climb, balance, stoop, kneel, crouch or crawl. Position will require sitting or standing for extended periods. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision depth perception, and ability to focus.
