Position Summary
The Executive Administrative Assistant provides high-level administrative and operational support to the Superintendent and leadership team. This role manages schedules, communications, meeting coordination, and key administrative systems that keep the school organized, responsive, and running smoothly.
The ideal candidate is proactive, detail-oriented, discreet, and able to manage multiple priorities with professionalism and care.
Key Responsibilities
Executive & Administrative Support
- Manage the Superintendent calendar, scheduling, and meeting logistics
- Coordinate agendas, meeting materials, notes, and action-item follow-up
- Draft, proofread, and organize professional communications (emails, letters, memos)
- Maintain systems for confidential documents, records, and leadership files
Office & Schoolwide Coordination
- Serve as a key point of contact for internal and external stakeholders (families, district partners, vendors, community members)
- Support event planning and logistics for schoolwide meetings, family events, and staff gatherings
- Manage ordering, inventory, and office supply systems; coordinate printing and materials
Data, Compliance & Reporting Support
- Track deadlines and support completion of required documentation and submissions
- Maintain accurate logs, correspondence records, and leadership documentation
- Support basic data entry and reporting tasks as assigned
Professionalism & Customer Service
- Provide high-quality customer service with warmth, clarity, and follow-through
- Maintain confidentiality and discretion with sensitive information
- Support a positive school culture by modeling professionalism and responsiveness
Required Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 3+ years of administrative experience (executive support preferred; school setting a plus)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- Proficiency with Google Workspace and/or Microsoft Office (Docs/Sheets/Slides, Outlook/Gmail, calendars)
- Ability to prioritize competing deadlines in a fast-paced environment
Preferred Qualifications
- Experience supporting senior leadership in a school, nonprofit, or mission-driven organization
- Experience with scheduling across multiple stakeholders and managing complex calendars
- Strong event coordination and project-tracking skills
- Bilingual (Spanish/English) a plus (if relevant to your community)
