Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to support our executive team. This role offers an exciting opportunity to be at the heart of our operations, ensuring smooth office management, efficient project coordination, and exceptional administrative support. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent organizational skills, strong communication abilities, and proficiency with a wide range of office technologies.

Duties

  • Provide comprehensive administrative support to executives, including calendar management, pre construction and post production work flow processes.
  • Manage correspondence via email, phone calls, and written communication with professionalism and courtesy, utilizing multi-line phone systems and phone etiquette best practices.
  • Assist with event planning for company meetings, training sessions, and community outreach initiatives.
  • Oversee office operations including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, transcribing meetings, and ensuring timely completion of tasks.
  • Handle front desk responsibilities such as greeting visitors, answering inquiries, and managing incoming calls efficiently.
  • Utilize office management software like Google Suite, Microsoft (Word, Excel) to update workflow processes.
  • Have a strong technical computer literacy.

Qualifications

  • Proven experience as an executive administrative assistant or in a similar administrative role with at least two years of office experience.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent written and verbal communication skills coupled with professional phone etiquette.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Docs), QuickBooks for bookkeeping, and data entry tasks.
  • Experience with event planning, project coordination, transcription, proofreading, filing systems, and clerical duties.
  • Familiarity with multi-line phone systems and Google Calendar for scheduling.
  • Ability to handle confidential information discreetly while demonstrating exceptional attention to detail. Pay: $20.00 - $24.00 per hour
