Position Overview

Fidare Consulting Group seeks a highly organized, proactive, and professional Executive Administrative Assistant (Independent Contractor) to provide comprehensive support to the Founder and Senior Consultant.

This role is ideal for a seasoned executive assistant who thrives in a fast-paced consulting environment and is comfortable supporting senior leadership, managing multiple priorities, and interacting with high-level clients and stakeholders. The Administrative Assistant will serve as a trusted operational partner, ensuring seamless coordination of executive activities, client deliverables, and internal initiatives.

This is a high-visibility role requiring exceptional discretion, professionalism, and the ability to anticipate needs in a dynamic and growth-oriented firm.

Key Responsibilities

Executive & Calendar Management

  • Manage complex executive calendars, including client meetings, investor calls, and strategic planning sessions
  • Coordinate and prioritize appointments, ensuring efficient time management
  • Screen and manage incoming communications, including email and calls
  • Prepare daily briefings, meeting agendas, and supporting materials
  • Draft, proofread, and edit presentations, proposals, and executive correspondence

Client & Stakeholder Coordination

  • Serve as a liaison between the Founder, clients, partners, and internal team members
  • Coordinate client communications and follow-ups
  • Draft and distribute professional correspondence and internal communications
  • Maintain a polished and professional client-facing presence

Project & Operational Support

  • Track consulting projects, deliverables, and deadlines across multiple engagements
  • Assist with preparation of proposals, Statements of Work, presentations, and reports
  • Maintain project trackers and support workflow organization
  • Support CRM and document management systems
  • Coordinate with internal and contract team members to ensure continuity and efficiency

Travel, Meeting & Event Coordination

  • Arrange domestic travel, including flights, accommodations, and itineraries
  • Coordinate logistics for executive meetings, workshops, and client sessions
  • Prepare meeting materials and presentations
  • Support planning for conferences, roadshows, and client events

Information & Confidential Records Management

  • Maintain confidential executive and client documentation
  • Organize digital filing systems and document archives
  • Ensure proper handling of sensitive financial and corporate information
  • Maintain accurate and accessible records for executive use

Administrative & Financial Support

  • Prepare and track invoices, expenses, and reimbursements
  • Coordinate vendor communications and administrative documentation
  • Assist with internal reporting and operational documentation
  • Support special projects and research initiatives as requested

Miscellaneous & Special Projects

  • Attend weekly leadership or project meetings as requested
  • Assist with research, presentations, and strategic initiatives
  • Provide administrative support for new business development activities
  • Perform ad-hoc assignments and special projects as needed

Qualifications

Experience

  • 5+ years supporting C-suite executives, founders, or senior consultants
  • Experience in consulting, finance, legal, investor relations, or professional services environments preferred
  • Demonstrated ability to manage multiple priorities in a fast-paced setting

Technical Skills

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with virtual meeting platforms (Zoom, Teams)
  • Familiarity with CRM and project tracking tools
  • Strong digital organization and document management capabilities

Engagement Structure & Compensation

Contract Classification

This position is structured as an independent contractor (1099) engagement. The selected candidate will operate as a self-employed contractor responsible for personal taxes, insurance, and related business expenses.

Compensation Positioning

Fidare Consulting Group structures contractor compensation to remain competitive with the Dallas–Fort Worth executive support market while reflecting the flexibility and autonomy of an independent contractor arrangement.

Compensation will be determined based on:

  • Depth of executive support experience
  • Consulting/professional services background
  • Availability and responsiveness
  • Ability to operate independently in a high-trust environment

Performance-Based Bonus Opportunities

Contractors may be eligible for discretionary performance-based bonuses tied to:

  • Exceptional reliability and executive support
  • Project coordination and client service excellence
  • Contribution to firm efficiency and growth initiatives
  • Annual or milestone-based company performance

Bonus structure will be defined within the contractor agreement.
