Executive Administrative Assistant:
WHAT WE ARE LOOKING FOR:
CFM is hiring an Executive Administrative Assistant to join our wealth management firm in Virginia Beach, VA. As the Executive Administrative Assistant, you will collaborate with other members in our Concierge Department to provide white glove service. The
Executive Administrative Assistant will join a team of dynamic, collaborative, and client-focused professionals who take pride in delivering massive value to the families our wealth management firm serves. Essential duties for the Executive Administrative Assistant will include, but are not limited, to:
- Answer all incoming call professionally.
- Maintain group calendar and ensure all client meetings are on appropriate team member/department calendars.
- Greet clients by name as they walk into our office.
- Prepare and review investment account applications.
- Schedule and confirm meetings via phone and email, email appointment confirmations.
- Input client meeting notes in the CRM.
- Accurately communicate CFM's value proposition.
- Conduct service meetings, i.e., DocuSign walkthrough, signing forms, etc.
- Identify opportunities during client interactions.
- Schedule review meetings.
- Review/Update job aids and templates on an ongoing basis.
- Consistently and accurately communicate with clients via email, phone calls, and global relay texts.
- Prepare meeting agendas-coordinate with all departments.
- Responsible for updating/confirming client segmentation.
- Update and maintain information for vendors, strategic partners, and clients in our CRM.
- Provide online access for client investment accounts.
- Triage all calls to the correct department/manage all service requests for clients.
- Performing other duties as assigned and required.
Qualifications/Experience:
- Must have 7 years of experience in the wealth management industry.( If not, please do not apply).
- Must have a 4-year undergraduate degree in Finance, Accounting or a related major.
- Master degree is preferred.
- FINRA Series 7 and 66 licenses required or related licenses (i.e. series 6,63,65).
- Life, Health and Annuities license preferred.
- Exceptional communication and interpersonal skills to foster strong client and team relationships.
- Strong computer skills, especially in Excel and/or programming skills a plus.
- Possess a high degree of accuracy and attention to detail.
- Ability to manage and process account applications efficiently and accurately.
- Warm, friendly personality with the ability to connect with people.
- Strong Client Services and Customer Service skills to ensure excellent support and relationship management.

- Compensation: Base Salary is commensurate with experience ranging from $50,000-$80,000 with incentive compensation.
