Executive Administrative Assistant

The Methodist Home for Children and Youth is a private non-profit organization dedicated to providing residential and community based services to youth and their families.

Summary

We are seeking an Executive Administrative Assistant to join our team at The Methodist Home for Children and Youth. This role is crucial in supporting our President/CEO and other leadership team members by managing administrative tasks, ensuring efficient operations, and contributing to our mission of serving youth and families.

Responsibilities

  • Provides high-level administrative support and assistance to the President/CEO and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, reports, and other documents as requested.
  • Provides support to the President/CEO in scheduling meetings, speaking engagements, and travel arrangements.
  • Interacts with and communicates regularly with internal and external stakeholders, team members and donors to facilitate effective and hospitable business relationships.
  • Prepares information for and supports board committee meetings and full board meetings.
  • Maintains critical agency records, policies and procedures.
  • Conducts research and prepares information in such a way as to support executive decision making.
  • Utilizes appropriate Sanctuary tools when interacting with colleagues and residents.
  • Exercises excellent judgment in decision making and maintains a high level of confidentiality in all interactions.
  • Adheres to the seven commitments of Sanctuary when carrying out work responsibilities.
  • Completes assignments in a timely and accurate manner.
  • Is willing to take on additional responsibility in a positive manner.
  • Complete training necessary to perform position consistent with program and agency staff development plans.
  • Uphold the mission, vision and values of The Methodist Home.

Education and/or Work Experience Requirements:

  • Associate degree or Bachelor's Degree preferred with four years’ experience in an administrative role supporting upper management or
  • Six plus years of experience in an administrative role supporting upper management in lieu of a degree.
  • Proficiency with Microsoft Office 365.
  • Demonstrated organizational and time management abilities.
  • Discretion and confidentiality in handling sensitive information.
  • Demonstrated problem-solving and analytical capabilities.
  • Must possess the flexibility and adaptability to changing priorities.
  • Must have a valid Driver’s License with minimum of four-year driving history and the ability to meet and remain in good standing in accordance with Agency insurance guidelines.
  • Must have proficient computer knowledge.
  • Ability to meet and handle the public with tact and poise.
  • Maintain high level of confidentiality.
  • Must be able to multitask in a fast-paced work environment.
  • Strong written and verbal communication skills
  • Ability to understand and consistently implement policies and procedures of the Agency.
  • Ability to show sensitivity and emotional intelligence in response to cultural differences.

Essential Physical Requirements:

  • Duties are performed in a variety of environments ranging from highly stressful to casual and leisurely. Stress may be caused by a changing environment, firm deadlines and workload.
  • Ability to hear and understand speech at normal levels.
  • Ability to operate office equipment including copiers, peripheral devices, etc.
  • Duties include sitting for both short and lengthy durations of time.
  • Duties include repetitive hand movements such as typing.
  • Duties include bending, stooping or kneeling for various durations of time.
  • Duties include overhead work, reaching, pulling and pushing items
  • Specific vision abilities and acuity to include the ability to see for purposes of reading printed material, purposes of driving as well as distance vision for purposes of maintaining appropriate supervision.

Job Type: Full-time

Pay: $19.23 - $24.03 per hour
