Executive Administrative Assistant

Administrative Assistant Function:

- In conjunction with the Center Director, supervise receptionist and volunteer staff who work in the area of office procedures and administrative duties (have the ability/awareness to step in as needed)

- Correspond with donors regarding questions, setup, and visits to the Center in concert with site managers.

- Update all forms, files, and manuals as advised by the Center Director.

- Receive all calls relating to donor relations.

- Answer the phone when the receptionist is not available.

- Assist Center Director, as needed, with word processing needs and questions.

- Take lead on the logistics for all tracking and setup of fundraising campaigns, accounts, and correspondence

- Event planning: ALC Golf Scramble, Gala, Baby Bottle Campaigns, and others

- Assist the Center Director with performing office administrative duties, as requested.

-Coordinating and Responsible for seeing that correspondence (volunteer newsletters, schedules, forms, monthly donor letters, etc) is gathered, typed, copied, and mailed on a timely basis.

- Work with the accounts office to update the general mailing list and produce mailing labels, as needed by the Center Director.

Accounting and Computer Responsibilities:

- General bookkeeping procedures of the Center, including entering, maintaining, and balancing accounts, Quicbooks experience

- Renew taxes, including insurance renewal, and certifications payable and receivables, along with recording deposits.

- Work with the accountant(s)/account offices to ensure accurate financial accuracy

- Be knowledgeable of general procedures of payroll and payment of bills on a timely basis (approving invoices, sending approved invoices, uploading information to the correct places).

- Be knowledgeable on the entry of accounting, donor receipts, and monthly donor letters.

- Coordinate quarterly newsletters

- Responsible for coodinate, plan, and excute ALC fundraiser campaign, such as: golf, gala and Baby Bottles campaign.

- Assist the account(s) personnel on the implementation of data entry for fundraising functions.

- Working with auditors as needed on review of financials.

Pay: From $20.00 per hour
