Executive Administrative Assistant

The Executive Administrative Assistant role provides high-level support to executive leadership while assisting with human resources operations and sales coordination in a manufacturing environment specializing in custom booths and banquettes. This position plays a critical role in ensuring smooth internal operations, supporting employee lifecycle processes, and helping drive sales efficiency through administrative and client-facing support.

Executive & Operational Support

  • Manage executive calendars, meetings, and communications, ensuring alignment with production schedules and business priorities
  • Coordinate travel, site visits, client meetings, and industry events
  • Prepare presentations, reports, proposals, and internal communications
  • Track projects, deadlines, and key deliverables across departments (production, sales, HR)
  • Serve as a liaison between leadership, internal teams, vendors, and clients
  • Maintain strict confidentiality when handling business and personnel information
  • Support budgeting, expense tracking, and invoice processing

Human Resources Support

  • Assist with recruiting efforts for manufacturing and administrative roles, including job postings, scheduling interviews, and candidate communication
  • Coordinate onboarding for new hires, including orientation, documentation, and training schedules
  • Maintain employee records and HR systems with accuracy and confidentiality
  • Support payroll and benefits administration by ensuring timely and accurate data updates
  • Serve as a point of contact for employee questions related to policies, benefits, and procedures
  • Assist with employee engagement initiatives, safety trainings, and compliance requirements
  • Support performance review processes and employee development tracking
  • Coordinate offboarding processes, including exit documentation and communication

Sales & Customer Support

  • Provide administrative support to the sales team, including preparing quotes, proposals, and client presentations for custom booth and banquette projects
  • Coordinate incoming sales inquiries, route leads, and track follow-ups in CRM systems
  • Communicate with clients regarding project timelines, order status, and scheduling
  • Assist in processing orders, ensuring accuracy between sales, design specifications, and production requirements
  • Maintain and update customer records, pricing data, and sales documentation
  • Support showroom coordination, sample requests, and marketing materials distribution
  • Help organize trade shows, client visits, and product demonstrations
  • Collaborate with production and design teams to ensure seamless handoff from sales to manufacturing

FLSA:

Full time - Hourly / Non-exempt

Monday – Friday 7:30 – 4

Skill / Education/Experience Required:

Minimum 3 year’s experience as high level Admin support.

Experience in customer and sales support

Must be competent with Microsoft Office: Excel, Outlook, Word, and PowerPoint

Able to learn and utilize current ERP/CRM platform.

Certifications/Licenses Required:

Valid Driver’s License

Compensation: $21-25 / hourly

Medical / Dental / vision .

Job Type: Full-time

Pay: $21.00 - $25.00 per hour

Expected hours: 40 per week
