Performs a variety of administrative functions in a healthcare environment by supporting/assisting executive, managerial and professional employees by gathering information, preparing reports and correspondence, assisting and coordinating presentations, maintaining records and database management, providing guidance and developmental assistance on organizational and department procedures, taking meeting minutes and/or board minutes. Provides all administrative/secretarial support as assigned by the Senior Leadership Team. Reports directly to the President and Chief Executive Officer.
- Maintains CEO, CFO and VP/CPO daily appointment calendars. Makes travel and lodging arrangements for all three executives, including Board of Trustees.
- Types correspondence, reports, memorandums, letters, special projects, technical papers, and related materials as requested by Senior Leadership Team.
- Records meeting minutes through the use of recording device and/or laptop to maintain an accurate record of decisions for all of the Board of Trustees and Finance Committee meetings.
- Collects and prepares information as requested/required for use in discussions and meetings with executive staff members and/or outside individuals.
- On a daily basis, receives and screens telephone calls, prepares mail items, and receives visitors in hospital administration.
- Administrator for Board portal software, and accumulates information for Board Meetings and submits it to the Board as directed via the software portal
- Maintains library of historical policies and documents
- Major event planning as necessary
- Schedules meetings with locations reserved as requested by senior leadership team.
- Receives, greets and directs visitors and hospital personnel arriving in executive suite.
- Picks up mail daily for Administrative suite, opens, screens and distributes mail.
- Relates effectively with department heads, hospital employees, Medical Staff, Board of Trustees, Broad River Board, patients, and community.
- Answers telephone and provides information in accordance with hospital policy.
- Maintains high level of confidential information.
- Sets up and maintains files in an organized manner.
- Attends meetings as required.
- Mentors other administrative personnel.
