Position Summary

We are seeking a highly organized and proactive Executive Administrative Assistant – Payments to provide comprehensive administrative support to senior business leaders in a fast-paced, dynamic environment. This role requires exceptional organizational skills, sound judgment, and the ability to manage multiple priorities while supporting executives, coordinating business operations, and enhancing team efficiency. The ideal candidate is detail-oriented, service-focused, and thrives in a collaborative environment.

 

Responsibilities

  • Provide high-level administrative support to senior leaders within the Payments organization.
  • Manage complex and frequently changing executive calendars, prioritizing meetings and business commitments.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
  • Organize meetings, conference rooms, catering, and event logistics while responding effectively to last-minute changes.
  • Support executive priorities by coordinating client visits, business meetings, and follow-up activities.
  • Utilize internal business tools and technology to improve administrative efficiency and workflow.
  • Partner with key stakeholders to manage priorities and maintain important business documentation.
  • Coordinate local events, employee engagement initiatives, and team recognition activities.
  • Provide office support by greeting clients and visitors, assisting with onboarding, maintaining office supplies, and supporting facilities operations.
  • Prepare conference rooms, coordinate food service, and ensure meeting spaces are ready before and after meetings.
  • Assist with administrative functions such as timekeeping, training records, reporting, and special projects.
  • Maintain confidentiality while adhering to company policies and internal controls.
  • Deliver exceptional customer service while collaborating effectively with executives, clients, and cross-functional teams.

 

Qualifications

  • Strong organizational skills with the ability to work independently in a demanding, fast-paced, and constantly changing environment.
  • Experience coordinating complex domestic and international travel arrangements.
  • Self-motivated with strong leadership qualities, discretion, professionalism, and a collaborative mindset.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong problem-solving, decision-making, and time management abilities.
  • Proficiency in Microsoft Office Suite and the ability to quickly learn new business systems and technologies.
  • Service-oriented with a commitment to providing exceptional executive and client support.
  • Ability to collaborate effectively across departments while supporting multiple priorities.
  • Minimum of three years of executive or administrative support experience in a fast-paced professional environment.
  • Experience supporting client-facing teams or working within financial services or payments is preferred.
  • Ability to work full-time in an office environment as required.
