Position Summary:
We are seeking a professional, loyal, and highly organized Executive Administrative Assistant to provide essential support to the Chief Funeral Director/Owner (CFD). This vital position requires a respectful and polished demeanor, a flexible schedule, and a willingness to travel alongside the CFD to various offices, meetings, and events.

The ideal candidate will act as a gatekeeper and primary point of contact for the CFD, managing a demanding calendar, handling sensitive information with discretion, and ensuring smooth day-to-day operations across all access points.

Key Responsibilities:

Executive Support

  • Coordinate and manage the CFD’s daily schedule, prioritizing appointments and time-sensitive matters.
  • Serve as the main point of contact for internal and external communications on behalf of the CFD.
  • Accompany the CFD to offices, events, and meetings as needed, providing on-site administrative support.
  • Write and edit emails, draft memos, prepare correspondence, and handle communications on behalf of the CFD.
  • Maintain comprehensive and accurate records, files, documents, and reports.

Administrative & Office Management:

  • Provide support to additional supervisors as needed to ensure smooth company operations.
  • Organize and schedule meetings, including sending reminders and managing logistics.
  • Answer incoming calls with professionalism, take accurate messages, and direct inquiries appropriately.
  • Greet and direct visitors, ensuring a welcoming and respectful environment.

Clerical & Operational Support:

  • Perform minor bookkeeping and accounting tasks as assigned.
  • Utilize office software (word processing, spreadsheets, and presentations) to prepare reports and special projects.
  • Assist with systems, procedures, and policy implementation to support business efficiency.
  • File and maintain documents, process paperwork, and handle general clerical duties.

Funeral Service Assistance (As Needed):

  • Assist with funeral and event arrangements.
  • Help manage logistics for services and memorial events.
  • Provide compassionate and professional support to families and clients as necessary.

Qualifications:

  • High school diploma or completion of a diploma training program at a college or technical school, or equivalent work experience.
  • Associate degree or bachelor’s degree preferred.
  • Proven experience in executive administrative support, preferably in a service-based or client-facing industry.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities with attention to detail.
  • High level of discretion, loyalty, and professionalism.
  • Proficiency in Microsoft Office Suite and other common office software.
  • Ability to maintain composure under pressure and adapt to changing priorities.
  • Reliable transportation and flexibility for travel.
  • Professional appearance and corporate-level dress and grooming.

Working Conditions:

  • This position requires a flexible schedule, including availability during evenings, weekends, and travel as needed.
  • Must be comfortable working in a funeral home environment and demonstrate empathy, maturity, and discretion in sensitive situations.
