Executive Administrative Assistant/Receptionist

Summary

Administrative Assistants shall be responsible for managing multiphone lines, maintaining files, completing data entry while ensuring accuracy and organization, providing personalized assistance to members of the management team, provide administrative and organizational support to various departments. They will assist the Human Resources department with various tasks including recruiting . Responsibilities include greeting all visitors, ensuring any required documentation is completed prior to facility entry, and maintaining meeting areas, restrooms, and waiting areas on a daily basis. Administrative Assistants will also coordinate meal orders for customers, vendors, and management. Additionally, they are responsible for inventory management and may conduct external errands to acquire necessary supplies.

Responsibilities

  • You shall be responsible for providing personalized assistance to members of the management team, provide administrative and organizational support to various departments, and complete company errands as needed to support the overall business.
  • Administrative tasks include but are not limited to managing multiphone lines, maintaining files, and completing data entry
  • As the first point of contact at the entrance of the facility you are responsible for greeting all visitors, ensuring that any required documentation is obtained or completed prior to entering the facility, ensure all meeting areas, restrooms, and waiting areas are maintained on daily basis, coordinate meal orders for customers, vendors, and management.
  • Assisting the Human Resource department with recruiting activates including but not limited to screening, providing applications to applicants and maintaining accurate records of those interviewed, coordinating interviews, distributing payroll checks, and assisting with the coordination of training and company events.
  • Maintains and submits expense reimbursements for members of management team, organizes receipts from company purchases, and coordinates travel arrangements and hotel reservations for vendors and members of management.
  • Preparation of product samples for shipment to prospective customers, management of incoming mail, Fedex, UPS and courier requests.
  • Completes external errands, walking and driving; including but not limited to picking up parts orders, providing airport transportation to and from the office, and other miscellaneous errands as directed by management.
  • Ensures basic office supply orders are routinely completed and items are placed into stock for use.
  • Maintain effective communication with coworkers, management, and supervisors.
  • Ensuring and maintaining confidentiality regarding company processes, procedures, and employee information that you may become aware of in the course of conducting your assigned tasks.
  • Maintain safe and clean working environment by performing housekeeping complying with GMPs SQF HAACP, LOTO and general workplace safety standards
  • Must maintain accurate documentation that is legible, and organized
  • Must follow good manufacturing practices
  • Must ensure food safety and quality are maintained by following regulations and company guidelines
  • Participate in ongoing training related to job duties, safety, equipment operation, and product handling.
  • Perform other duties as directed by management

Required Qualifications

  • Must be at least 18 years of age or older
  • 4 or more years of administrative or personal assistant experience
  • Moderate knowledge of Microsoft Programs
  • 2 or more years of assisting Human Resources or recruiting experience

Education / Certificates

  • High School Diploma or Equivalent

Physical Requirements

  • Repetitive Tasks and motions
  • Sitting or standing for at least 8 hours
  • Occasional carrying and lifting up to 50 pounds
  • ·Must be able to climb, bend, reach, walk and stand occasionally to perform various office tasks and warehouse inventory
  • Must be able to sit for extended long periods of time at a workstation/desk
