Position Overview
This Executive Assistant role is ideal for someone with 3-10 years of experience in a large, global organization who is eager to learn and grow into a more senior EA position over time. The Executive Assistant will support four Vice Presidents-three based at Global Headquarters and one in Europe, who often aligns to U.S. hours due to the CEO's location. The position requires strong adaptability and flexibility, as internal structures and reporting lines frequently evolve within the company's dynamic culture. This is a great opportunity for someone who thrives in an international, fast-paced environment and has hands-on experience managing visas, coordinating global travel, and handling complex scheduling and rescheduling in Outlook.
Responsibilities Of The Executive Assistant

Highly organized and adaptable, able to manage frequent changes across time zones (including China, India, and Brazil) with complex travel, flight adjustments, and shifting priorities-staying connected and proactive throughout.

Strong interpersonal awareness with the ability to anticipate needs, think ahead, and approach each task with curiosity and a willingness to learn what each executive values most.

Handle a range of responsibilities including calendar and travel management, light personal support (e.g., appointments, visa/passport renewals), confidential information handling, and serving as a communication liaison-drafting, proofreading, and organizing materials for seamless executive support.

Manage complex calendars and travel logistics, coordinating meetings, itineraries, and expense reporting while ensuring all materials and schedules are prepared in advance.

Act as a key liaison for communication and relationships, handling correspondence, confidential information, and guest coordination with professionalism.

Support meetings, office organization, and special projects, anticipating needs and ensuring seamless day-to-day operations for the executive.
Required Experience/Skills for the Executive Assistant:

Experience supporting executives within a large, global organization; open to candidates from various industries.

5 - 10+ years of experience as an Executive Assistant, preferably supporting multiple leaders or a team.

Ability to thrive in a fast-paced environment with strong judgment, adaptability, and composure under pressure.
Education Requirements:

High school diploma or equivalent.
