The Personal Secretary to the CEO will provide high-level executive support, ensuring smooth day-to-day operations of the CEO’s office. The role demands exceptional organizational skills, confidentiality, and the ability to manage complex schedules, communication, and coordination in a fast-paced software development environment.
Executive Support & Administration
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments with internal teams, clients, and stakeholders.
- Prepare and organize documents, reports, presentations, and correspondence for the CEO.
- Handle confidential and sensitive information with the highest level of discretion.
- Coordinate travel arrangements, itineraries, and logistics for domestic and international trips.
Communication & Coordination
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, review, and manage emails, memos, and business communication on behalf of the CEO.
- Ensure timely follow-up on pending tasks, project updates, and business initiatives.
Operational Support
- Liaise with department heads to monitor progress on strategic projects and provide timely updates to the CEO.
- Maintain records of key meetings, decisions, and follow-up action items.
- Assist in preparing agendas, minutes, and briefing materials for board meetings, client pitches, and industry events.
Industry-Specific Responsibilities
- Understand software house workflows, development lifecycles, and technical terminology to facilitate smooth communication between the CEO and tech teams.
- Coordinate with project managers, business analysts, and development teams for updates on software releases, client deliverables, and operational KPIs.
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3–5 years of experience as a Personal/Executive Secretary, preferably in the IT or software house industry.
- Strong understanding of IT/software development industry operations and terminologies.
- Excellent written and verbal communication skills in English.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and productivity tools like Google Workspace, Trello, Asana, or similar.
- High level of confidentiality, discretion, and professionalism.
- Strong organizational, multitasking, and time-management abilities.
- Ability to work under pressure and adapt to a fast-paced environment.
