Job Overview:
A leading real estate and property development firm is hiring an Executive Secretary for its Karachi office. The ideal candidate will be organized, professional, and client-focused, responsible for managing executive-level administrative tasks, handling customer inquiries, and supporting the sales and management teams. This role requires strong communication skills and the ability to manage multiple responsibilities in a fast-paced real estate environment.

Key Responsibilities:

Executive & Administrative Support

  • Provide direct secretarial and administrative support to senior management.
  • Manage calendars, schedule meetings, and coordinate executive appointments.
  • Prepare and format sales reports, presentations, contracts, and client communication materials.
  • Organize, file, and manage contracts, legal documents, and confidential paperwork.

Customer Relations & Office Coordination

  • Respond to client inquiries and provide accurate information about ongoing and upcoming property projects.
  • Maintain client files, agreements, and correspondence in a structured system.
  • Professionally handle calls, emails, and other forms of official communication.
  • Coordinate between internal departments to ensure smooth office operations.

Support to Sales & Management

  • Assist in creating property listings, brochures, and marketing presentations.
  • Coordinate with the sales team for client follow-ups and meeting arrangements.
  • Support upper management in daily administrative and operational functions.

Key Requirements:

Education:

  • Bachelor’s degree in Business Administration, Real Estate, or a related field.

Experience:

  • Minimum 5–10 years in a secretarial or executive assistant role, ideally within the real estate or property development industry. (Required)

Technical Skills:

  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Familiar with CRM software and real estate documentation procedures.
  • Strong organizational, documentation, and multitasking capabilities.

Soft Skills:

  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and professional demeanor.
  • Ability to maintain confidentiality and manage time efficiently.

Job Type: Full-time

Pay: Rs80,000.00 - Rs100,000.00 per month

Ability to commute/relocate:

  • Karachi: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Property Development: 5 years (Required)
