Responsibilities

Manage a heavy calendar of primarily internal meetings, coordinating across multiple time zones and executive offices. Handle video conferencing, dial-in details, and room scheduling.

Provide comprehensive administrative and office support, including setting up video calls, booking conference rooms, answering phones, taking messages, managing subscriptions, distributing mail, scanning/tracking documents, communicating department updates, and ordering supplies.

Arrange and oversee complex travel logistics, including flights, hotels, ground transportation, meeting coordination, and related expense management.

Plan and coordinate team and departmental events, outings, and offsites.

Collaborate closely with internal departments, IT support, other administrative assistants, external partners, and global executive leadership.
Requirements
-
517 years of experience as a senior-level Executive Assistant supporting VP-level or higher executives within large corporate environments.

Proven experience managing complex scheduling and coordinating meetings with multiple executive offices.

Ability to handle highly confidential information with discretion, sound judgment, and professionalism.

Strong writing skills, with the ability to draft and transcribe professional correspondence, including emails, memos, letters, and reports.

High technical proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams, SharePoint), Google Workspace (Docs, Sheets, Slides), and enterprise tools such as Concur, Workday, and Airtable.
