Executive Assistant

The Executive Assistant to the Chairman provides high-level administrative support to the Chairman of the Board, ensuring efficient operation of the executive office. This individual manages scheduling, communications, travel, meeting coordination, and strategic administrative support while maintaining the highest level of professionalism, confidentiality, and discretion.

2. RESPONSIBILITIES

. Manage and maintain the Chairman’s calendar, including scheduling meetings, appointments, speaking

engagements, and travel (domestic/international).

. Prioritize and manage multiple projects simultaneously, ensuring deadlines are met.

. Prepare, review, and edit correspondence, reports, presentations, and other documents.

. Handle incoming and outgoing communications on behalf of the Chairman (email, calls, mail, etc.).

. Maintain a high level of confidentiality in all matters.

. Organize board meetings, executive offsites, investor relations events, and internal/external meetings.

. Prepare agendas, distribute materials, take minutes, and follow up on action items.

. Liaise with senior executives, board members, stakeholders, and external partners.

. Plan and coordinate complex travel itineraries including flights, hotels, ground transportation, and visa arrangements.

. Provide detailed travel briefs and handle last-minute changes or issues as needed.

. Serve as the gatekeeper and liaison between the Chairman and internal/external stakeholders.

. Screen and prioritize incoming requests, ensuring appropriate response and follow-up.

. Support strategic initiatives and special projects as directed by the Chairman.

. Conduct research, prepare briefing materials, and summarize reports for quick decision-making.

. Takes Health, Safety & Environment (HSE) lead in ensuring “safe systems of work” and “safe conditions” are in place within the area of responsibility.

. Performs other similar or related duties as required or assigned by management.

QUALIFICATIONS & EXPIERENCE

Educational Requirements / Qualifications:

- Bachelor's degree in Business Administration, Communications, or related field (Master’s preferred).

B Experience:

- Minimum 7+ years of experience supporting C-suite executives, preferably in a fast-paced corporate or multinational environment.
