Responsibilities:
The Executive Assistant is responsible for performing a variety of clerical functions and office support activities for executives to facilitate the efficient operations of the office. This includes assisting multiple executives with a high level of ethical standards in a manner that reflects positively on the organization. In addition, the incumbent is expected to handle sensitive matters with confidentiality and discretion. This position will also be responsible for special projects, managing calendars, and maintaining strong customer service and partnerships with all levels of the organization.

  • Manages complex calendars and schedules, with constant monitoring, and resolving any scheduling issues. Alerting Executive to any foreseeable conflicts with travel, PTO, or meetings.
  • Conserve the Executive’s time by reading, researching, collecting, and analyzing information that comes to the Executive’s attention.
  • Serves as primary information resource regarding department policies, procedures, and operational functions.
  • Arranges complex travel and accommodations.
  • Composes correspondence, prepares electronic office forms (expense reports, check request, charitable contributions, IT requests, etc.). As well as disseminates messages, emails & documents appropriately.
  • Maintains communication with administrative staff ensuring all upcoming meetings requiring C-Suite executives are on all necessary calendars.
  • Creates, updates, and/or edits presentations.
  • Coordinates meetings and special events, creating agendas, ordering lunch, etc., on-site, or remote.
  • Works with IT to ensure meetings rooms are prepared for any large in-house meetings.
  • Completes special projects as assigned.
  • Provides coverage to other Executives and assistants as needed.
  • Flexible hours as dictated by the needs of the business.
Qualifications:
Education/Experience:
High school diploma or equivalent.
Notary Pubic License is a plus
5+ years of related experience working in an executive assistant role supporting VP Executives and above required.

Knowledge/Skills:
Excellent verbal and written communication skills
Excellent planning and time management skills with the ability to prioritize
Excellent attention to detail.

Software:
Advanced knowledge of Concur, PowerPoint and MS Office (Outlook, Word, Excel, and PowerPoint)
Knowledge of Visio and SharePoint including MS Planner and MS Project a plus

Local Candidates Only: travel to Sunrise Corporate Office may be required for support, meetings, and lunch set up/clean up when senior executives are on-site.
