Executive Assistant

Imperium Group is seeking a highly professional and discreet Executive Assistant to provide direct support to the Managing Director. The ideal candidate will handle a broad range of administrative and executive-level responsibilities, ensuring that the Managing Director’s time is optimized, communications are efficiently managed, and strategic priorities are executed seamlessly. This role requires exceptional organizational skills, strong communication abilities, and absolute confidentiality.


Key Responsibilities:

  • Provide comprehensive administrative and executive support to the Managing Director, ensuring all tasks are handled efficiently and professionally.
  • Manage the Managing Director’s calendar, appointments, travel arrangements, and meeting logistics with precision and confidentiality.
  • Prepare and organize documents, correspondence, reports, and high-level presentations.
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Managing Director.
  • Coordinate internal and external meetings, including agenda preparation, documentation, and accurate minute-taking with timely follow-up on action items.
  • Maintain strict confidentiality in handling sensitive corporate, financial, and personnel information.
  • Serve as a liaison between the Managing Director and internal teams, clients, and business partners, ensuring smooth communication and follow-up on directives.
  • Track ongoing projects, deadlines, and deliverables, ensuring timely execution and reporting.
  • Support the Managing Director in strategic initiatives, research, and preparation of executive summaries or briefing materials.
  • Handle ad hoc assignments and confidential projects with professionalism and discretion.


Qualifications:

  • Bachelor’s Degree in Business Administration, Management, or a related field.
  • Minimum 5 years of experience as an Executive Assistant supporting C-level executives, preferably within the construction, design, or corporate sectors in the UAE.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and professional communication tools.
  • Excellent organizational, multitasking, and prioritization skills with strong attention to detail.
  • Proven ability to maintain confidentiality and handle sensitive information with integrity.
  • Professional demeanor, strong interpersonal skills, and the ability to work with senior stakeholders.
