Job Description:

The Executive Assistant will play a crucial role in supporting the strategic initiatives of the leadership team. This position is designed for a proactive individual with strong organizational skills and the ability to manage multiple priorities in a fast-paced environment. The candidate will be responsible for optimizing the executive's time by managing schedules, coordinating travel arrangements, and preparing essential documentation and communication. The ideal candidate will possess a high degree of professionalism, discretion, and a commitment to confidentiality, while demonstrating exceptional problem-solving abilities and adaptability to rapidly changing circumstances.


Job Requirements:

  • A minimum of 2 years of experience as an Executive Assistant or in a similar administrative role, preferably within a corporate or governmental environment.
  • Proven ability to manage and prioritize multiple tasks and deadlines effectively, demonstrating strong organizational and time management skills.
  • Excellent verbal and written communication skills in both Arabic and English, with a strong proficiency in preparing reports and presentations.
  • Familiarity with office management procedures, administrative protocols, and decision-making processes at an executive level.
  • Strong proficiency in office software applications (e.g., Microsoft Office Suite, project management tools) and communication platforms.
  • Experience in handling confidential or sensitive information with integrity and discretion.
  • Ability to operate independently with minimal supervision while functioning collaboratively within a team environment.
  • Strong interpersonal skills with the ability to engage and interact with a variety of stakeholders at all organizational levels.
  • A proactive approach to problem-solving and the ability to think critically about situations as they arise.


Job Responsibilities:

  • Manage and optimize the executive's calendar by scheduling appointments, coordinating meetings, and ensuring timely follow-ups on action items.
  • Prepare and organize documents, reports, and presentations for meetings, ensuring high standards of accuracy and professionalism.
  • Coordinate travel arrangements, including transportation and accommodation, while adhering to budgetary constraints and organizational policies.
  • Communicate effectively with internal and external stakeholders on behalf of the executive, maintaining professionalism in all correspondence.
  • Handle incoming calls, emails, and other communications, prioritizing and responding with discretion and efficiency.
  • Assist in the development and implementation of administrative processes and systems to enhance operational efficiency.
  • Maintain and manage filing systems, both electronic and physical, ensuring appropriate document retention and adherence to confidentiality protocols.
  • Support the planning and execution of corporate events and meetings, including logistics, materials preparation, and attendee communication.
  • Monitor and track deadlines for projects and administrative tasks, providing timely reminders and updates on progress.
