Job Summary:
The Executive Assistant plays a crucial role in providing administrative support to top-level executives within an organization. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of tasks efficiently and effectively. The Executive Assistant serves as a primary point of contact between executives, internal staff, clients, and external stakeholders, requiring strong communication and interpersonal skills.

Key Responsibilities:

1. Administrative Support
Provide high-level administrative support to executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.

2. Communication
Serve as the primary point of contact for internal and external communications—screening calls, responding to inquiries, and managing email correspondence.

3. Information Management
Organize and maintain executive files, records, and documents, ensuring confidentiality and accessibility. Prepare reports, presentations, and other materials as requested.

4. Meeting Coordination
Plan and coordinate meetings, conferences, and events, including arranging logistics, preparing agendas, taking minutes, and following up on action items.

5. Project Management
Assist with special projects as assigned, coordinating tasks, deadlines, and resources to ensure timely completion and quality results.

6. Relationship Management
Build and maintain positive relationships with executives, colleagues, clients, and other stakeholders, representing the executive’s office in a professional manner.

7. Prioritization
Manage multiple priorities and deadlines effectively, proactively identifying and addressing potential conflicts or challenges.

8. Problem Solving
Anticipate needs and proactively address issues to facilitate smooth operations and support the executive’s objectives.

9. Confidentiality
Handle sensitive information with discretion and confidentiality, maintaining the highest standards of professionalism and ethics.

10. Technology Proficiency
Utilize various software and technology tools proficiently, including Microsoft Office Suite, calendar/scheduling applications, and communication platforms.

Qualifications:

  • Bachelor's degree preferred, or equivalent work experience.
  • Proven experience as an executive assistant or similar role, preferably supporting senior-level executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and work independently.
  • Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
  • Proficiency in Microsoft Office suite and other relevant software applications. Excel experience required.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and environments.
  • Attention to detail and high level of accuracy in work.
  • Professional demeanor and appearance.

Job Type: Full-time

Pay: $30.00 - $35.00 per hour
