Position Overview
Minardi Public Affairs has a unique career opportunity for an energetic self-starter capable of managing multiple tasks simultaneously. The Executive Assistant will provide high-level administrative and operational support to the owner of multiple small businesses — one in the political sector and one in the food and hospitality industry. This role requires exceptional organization, discretion, and the ability to manage a wide range of tasks in two very different yet fast-paced environments.
The ideal candidate is proactive, adaptable, and capable of balancing strategic priorities with day-to-day execution. They must be comfortable handling confidential information, managing communications with public figures and clients, and helping the owner stay organized and focused on necessary tasks.
Key Responsibilities
Executive & Administrative Support
- Manage the owner’s complex calendar, meetings, and travel across multiple businesses.
- Handle calls, emails, and correspondence with professionalism and discretion.
- Prepare documents and briefing materials for client meetings, events, or business operations.
- Organize files, track deadlines, and ensure timely follow-up on commitments.
- Maintain strict confidentiality regarding sensitive political, business, and personal matters.
Political Operations Support
- Monitor legislation during the West Virginia Legislative Session on behalf of various clients.
- Prepare research briefs, background materials, and talking points as needed.
- Engage directly with legislators on various pending legislative matters.
- Track key dates, legislative or policy updates, and communication schedules.
Food Industry / Business Operations Support
- Assist with scheduling, vendor management, and communication for a small but growing Italian food manufacturer.
- Support marketing efforts, social media updates, and basic website maintenance.
- Oversee expense reporting, invoices, and basic financial tracking.
- Help coordinate staffing, supply orders, and logistics for restaurant and wholesale food operations.
Qualifications
- Education: Associate or Bachelor’s degree in Business Administration, Communications, Political Science, or related field is preferred but not required.
- Experience: Working in a supporting role to an executive, senior management, business owner, or public official.
- Skills & Abilities:
- Excellent communication and interpersonal skills.
- Highly organized with the ability to manage multiple priorities across industries.
- Strong attention to detail and follow-through.
- Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Canva).
- Strong writing and social media skills required, and basic understanding of website maintenance is preferred.
- Demonstrated discretion and judgment when handling confidential matters.
