Executive Assistant

Position Overview

The Executive Assistant provides high-level administrative support to senior executives by managing schedules, coordinating communications, organizing meetings, and handling confidential information. This role requires exceptional organizational skills, discretion, and the ability to anticipate executive needs.

Key Responsibilities

  • Manage executive calendars, appointments, and travel arrangements
  • Coordinate and prepare materials for meetings, presentations, and reports
  • Screen calls, emails, and correspondence; respond or redirect as appropriate
  • Organize internal and external meetings, including logistics and minute-taking
  • Maintain confidential files and records
  • Support project management and follow-up on action items
  • Liaise with internal departments and external stakeholders
  • Prepare expense reports and manage budgets where applicable
  • Handle special projects and ad-hoc administrative tasks

Required Qualifications

  • Bachelor’s degree in Business Administration or related field (preferred)
  • 3–7 years of experience supporting senior leadership
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • High level of professionalism and confidentiality
  • Ability to multitask and prioritize effectively
