Oaktree’s Risk, Reporting & Analytics (RR&A) team is seeking an Administrative Assistant to support our growing team in Hyderabad.

Key responsibilities include:

  • Setting up internal meetings, including, but not limited to, scheduling, catering, tech setup, guest clearance and material support;
  • Maintaining complex calendars, scheduling and coordinating meetings and conference calls and meeting logistics;
  • Receiving, screening, prioritizing and routing calls and mail to the appropriate personnel;
  • Arranging and preparing travel arrangements/itineraries;
  • Preparing and submitting expense reports and processing invoices as necessary;
  • Organize department team meetings. Attend meetings to remain informed and provide optimum assistance and manage follow up;
  • Assisting in the organization and delivery of new employee onboarding plans;
  • Monitoring shared team inbox for new requests and action items, coordinating the triage and assignment;
  • Inputting data into department tracker to chronical client activity on behalf of senior managers;
  • Working independently on special projects under general direction of management, including coordination of department offsite meetings, special events, inter-departmental meetings, etc;
  • Managing logistics of meetings including, but not limited to, booking of the conference room, ordering food and setting up as necessary, assembling printed data/materials, updating and distributing the agenda; and
  • Performing other duties as needed, including copying, logging parking validations and ordering supplies.
Required Experience:
  • 3-5+ years of experience supporting several executives within a professional services firm;
  • Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks;
  • Capable of working under general direction with little supervision;
  • Independent judgment to plan, prioritize and organize diversified workloads for self and others;
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat. Some knowledge of Salesforce is a plus; and
  • Experience with various technology platforms for video conference and recording needs, including management and setup of Zoom and Microsoft Teams video and audio conference calls.
