Job Title: Executive Assistant to the Chairman & Senior Management
Job Purpose
The Executive Assistant provides high‑level administrative, organizational, and personal support to the Chairman and senior management team. This role ensures smooth coordination of executive activities, handles sensitive information with discretion, and manages both professional and personal tasks for executives and their families. The ideal candidate must demonstrate exceptional confidence, judgment, and problem‑solving ability.
Key Responsibilities:
- Manage executive calendars, meetings, appointments, and travel schedules.
- Prepare meeting agendas, briefs, presentations, and minutes.
- Ensure timely follow‑up on action items and correspondence.
- Filter and prioritize emails, calls, and requests on behalf of executives.
- Coordinate with internal departments to support executive-level decisions.
- Handle confidential documents, reports, and sensitive information with full discretion.
- Draft and review correspondence, official letters, and reports.
- Maintain organized filing systems (digital & physical).
- Arrange personal travel, reservations, events, appointments, and errands.
- Support family administrative needs (schools, medical appointments, home services, etc.).
- Coordinate household or personal service providers as requested.
- Assist with personal shopping, gift arrangements, and special occasions.
- Organize corporate and private events as required.
- Manage travel itineraries, visas, hotel bookings, and transportation.
- Liaise with service providers, suppliers, and external stakeholders.
- Handle ad-hoc tasks and urgent requests efficiently.
- Anticipate needs and proactively propose solutions.
- Resolve scheduling conflicts and operational challenges.
- Take initiative to handle issues with minimal supervision.
- Provide sound judgment when making decisions on behalf of executives.
Qualifications & Requirements
Education & Experience
- Bachelor’s degree in Business Administration or related field preferred.
- Minimum 5–8 years of experience supporting C‑level executives (UAE experience is an advantage).
- Experience handling personal tasks for senior leaders is highly desirable.
