Executive Assistant

Overview
We are seeking a dynamic and highly organized Senior Executive Assistant to join our team and provide exceptional administrative support to senior leadership. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication across departments. The ideal candidate will thrive in a fast-paced environment, demonstrate proactive problem-solving skills, and possess a passion for streamlining office functions to enhance overall productivity.

Duties

The Executive Assistant will serve as a strategic partner to the CEO, providing high-level administrative and operational support to ensure priorities are executed efficiently and effectively. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs in a fast-paced environment.

Key responsibilities include managing and maintaining the CEO’s calendar, scheduling meetings and appointments, coordinating internal and external meetings, and prioritizing requests based on business needs and time sensitivity. The Executive Assistant will monitor and manage the CEO’s inbox, draft and respond to emails on the CEO’s behalf, and ensure timely follow-up with internal and external stakeholders.

The role also includes preparing meeting agendas and materials, taking detailed notes, distributing summaries and action items, and tracking follow-ups to ensure completion. The Executive Assistant will prepare reports, presentations, and other documents as needed, maintain organized digital and physical files, and assist with data entry and reporting tasks.

Additional responsibilities include arranging travel (flights, accommodations, transportation), preparing detailed itineraries, and proactively managing any changes to travel plans. This individual will serve as a point of contact between the CEO and team members, assist with project coordination, and support internal meetings and events.

The ideal candidate is highly organized, proactive, detail-oriented, and able to handle sensitive and confidential information with professionalism and discretion. Strong written and verbal communication skills are essential, along with the ability to manage multiple priorities while maintaining accuracy and composure.

Job Type: Full-time

Pay: From $48,000.00 per year
