Position Overview:
We are seeking a highly organized and professional Executive Administrative Assistant to provide direct support to our CEO in managing daily operations, scheduling, and communications. This position is ideal for a proactive, detail-oriented individual who flourishes in a fast-paced environment with frequently changing priorities. Strong administrative skills and a proven ability to handle sensitive information and build business relationships are key traits for this position.
Key Responsibilities:
- Provide high-level administrative support to CEO, including calendar management, meeting coordination, and travel arrangements.
- Manage and prioritize the CEO’s calendar, appointments, and time for optimal efficiency and productivity
- Coordinate internal and external communications on behalf of the CEO, ensuring prompt and professional responses with Local and State Committees, Business partners, Community outreach
- Prepare bulk email packets, reports, presentations, and documents as needed for internal meetings, board meetings, or external clients.
- Maintain clear and consistent communication with team members to track the status of ongoing projects and leads, ensuring the CEO is regularly informed on progress and developments.
- Organize and maintain electronic and paper filing systems.
- Handle confidential information with discretion and professionalism.
- Assist with special projects and any other tasks as directed by the CEO.
Qualifications:
- 3+ years’ experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting C-suite executives. Experience in the construction industry strongly preferred.
- Solid proficiency in QuickBooks Enterprise and Microsoft Excel; ability to generate QB reports and manage spreadsheets.
- Excellent organizational and multitasking abilities; capable of managing multiple priorities under deadlines.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, team members, and senior executives.
- Ability to work independently and handle confidential information with discretion.
- Flexibility and adaptability in a fluid work environment.
