The Donald Danforth Plant Science Center has an immediate opening for a highly organized and proactive Executive Assistant. This role operates at the executive level and is critical to the effective functioning of the Office of the President. The Executive Assistant serves as a trusted partner, managing complex schedules, sensitive communications, Board governance processes, and cross-functional priorities in a fast-paced, mission-driven research environment.
This is a full-time (40 hours/week), Monday–Friday exempt hybrid position, requiring the individual to be on-site five (5) days per week.
Executive Support to the President and VP of External Affairs
Serve as a welcoming and professional point of contact for internal and external stakeholders, representing the Office of the President with discretion and professionalism.
Provide comprehensive administrative support to the President and Vice President of External Affairs including complex calendar management, scheduling, travel coordination (domestic and international), and expense reporting.
Serve as a strategic administrative partner, anticipating needs and proactively addressing issues before they arise.
Coordinate and prioritize executive communications, ensuring timely and professional responses.
Serve as a confidential and trusted partner, handling sensitive information with the highest level of discretion.
Project Coordination & Organizational Support
Assist with the coordination, tracking, and execution of executive-level projects, ensuring deadlines and deliverables are met.
Coordinate logistics for executive briefings, external engagements, visits, and delegations hosted by the Office of the President
Support leadership and committee meetings, including logistics coordination and preparation and distribution of materials and meeting minutes when necessary
Support organizational projects and initiatives for the organization
Assist with planning and logistics for leadership meetings, retreats, and special events as needed.
Track action items and priorities to support the coordinated implementation of executive initiatives.
Contribute to special projects and institutional events as assigned.
Board of Directors Support
Supports the VP for Externals Affairs, President’s Office in support of Board governance activities in accordance with organizational bylaws and best practices.
Coordinate all Board and committee meetings, including scheduling, agenda development, preparation and distribution of materials, minute-taking, and follow-up on action items.
Maintain official Board records, resolutions, and documentation with a high degree of accuracy, confidentiality, and professionalism.
Act as administrative and coordinative liaison between Board members, senior leadership, and internal stakeholders.
Administrative & Office Operations
Prepare and process personnel action forms (PAFs), including new hires, terminations, employee changes, and labor allocations, in coordination with Human Resources.
Provide personnel-related administrative needs as appropriate.
Perform other duties as assigned to support the President and organizational priorities.

Demonstrated experience supporting senior executives and/or Boards of Directors in a complex organization.
Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
Strong written and verbal communication skills, with attention to detail and professionalism.
Proven ability to handle confidential information with discretion and sound judgment.
Strong interpersonal skills and the ability to build effective relationships with internal and external stakeholders.
Ability to work independently, exercise initiative, and solve problems with minimal supervision.
Proficiency with Microsoft Office and/or Google Workspace and virtual meeting platforms.
Comfort learning and navigating enterprise systems related to HR, finance, and governance.

Bachelor’s degree or equivalent combination of education and experience.
5+ years of experience providing executive-level administrative support, preferably supporting a senior executive or President.
Experience serving as a Board Secretary or supporting nonprofit, academic, or mission-driven organizations.
Experience coordinating projects or initiatives beyond traditional administrative support.
Familiarity with governance practices and Board operations.
