Executive Assistant

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Owner of a prominent liquor retailer. This role requires exceptional administrative skills, discretion, and the ability to manage multiple priorities in a fast-paced, relationship-driven industry.

The ideal candidate is resourceful, organized, and comfortable working in a dynamic small-business environment where flexibility and initiative are essential.

Key Responsibilities

Executive Support

  • Manage the owner’s calendar, schedule meetings, and coordinate appointments
  • Handle email correspondence and prioritize communications
  • Monthly, annual and miscellaneous filing of purchase orders and receiving reports
  • Screen calls and serve as a gatekeeper
  • Track tasks and follow up to ensure deadlines are met

Sales & Operations Support

  • Assist with order processing and tracking
  • Coordinate with distributors, vendors, and retail accounts
  • Submit purchase orders, receive trucks, and identify & solve related issues
  • Help organize tastings, promotional events, and supplier meetings
  • Future shift leader operations requested

Administrative & Office Management

  • Maintain filing systems and organized records
  • Assist with invoicing, receiving, and basic bookkeeping coordination
  • Support inventory documentation and compliance paperwork

Industry Compliance & Coordination

  • Help ensure documentation aligns with state alcohol regulations
  • Assist with licensing renewals and required filings

Qualifications

  • 3+ years of experience as an Executive Assistant or Administrative Assistant
  • Experience in beverage, liquor, wine & spirits, or CPG sales preferred
  • Strong proficiency in Microsoft Office and/or Google Workspace
  • Experience with QuickBooks software
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Strong organizational and time-management skills
  • Ability to anticipate needs and work independently

Job Type: Part-time

Pay: $14.00 - $20.00 per hour
