Position Summary

Nava Behavioral Health is seeking a highly organized, strategic, and discreet Executive Assistant to provide direct administrative and operational support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO).

This role is mission-critical and serves as a trusted partner to executive leadership. The Executive Assistant must be proactive, detail-oriented, solutions-focused, and capable of operating in a fast-paced behavioral health environment with professionalism and confidentiality.

The ideal candidate thrives in high-responsibility environments, anticipates needs before they arise, and understands the importance of precision, discretion, and strong communication.

Key Responsibilities

Executive Support

  • Manage complex calendars for CEO and COO, including scheduling, prioritization, and conflict resolution
  • Coordinate internal and external meetings, including preparation of agendas and meeting materials
  • Draft and edit executive-level correspondence, reports, and presentations
  • Prepare board materials, leadership reports, and compliance documentation as needed
  • Screen calls, emails, and requests, responding or redirecting appropriately

Operational Coordination

  • Assist in tracking executive projects, deadlines, and strategic initiatives
  • Maintain executive dashboards and task tracking systems
  • Support compliance, and clinical leadership coordination when directed
  • Organize and maintain confidential records and documentation

Communication & Liaison

  • Serve as liaison between executive leadership and staff
  • Maintain professional communication with external partners, vendors, and community stakeholders
  • Ensure timely follow-up on action items and executive directives

Administrative Excellence

  • Coordinate travel arrangements, itineraries, and expense reports
  • Support event planning and executive presentations
  • Maintain high-level confidentiality of sensitive agency and personnel information

Qualifications

Required:

  • Minimum 3 years of executive administrative experience
  • Advanced proficiency in Microsoft Office and Google Workspace
  • Strong written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Ability to handle confidential information with discretion
  • High level of professionalism and emotional intelligence

Preferred:

  • Experience in healthcare, behavioral health, or nonprofit environments
  • Experience supporting multiple executives simultaneously
  • Experience with compliance documentation and policy management

Work Environment

This position works onsite at Nava Behavioral Health in Las Cruces, NM. Occasional extended hours may be required to support executive and organizational needs.
