Reporting directly to the company President and founder, the Assistant to the President/CEO serves as the primary point of contact for internal and external communications on all matters pertaining to the our growing platform of healthcare companies. The Assistant also serves as a liaison to the physician leadership and senior management teams; and oversees special projects.

The Executive Assistant must be creative and enjoy working within a fast paced, entrepreneurial environment that is mission and results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities, pivoting as needed with ease.
The EA will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
This is a unique opportunity to work side by side with the founder of one of the country's leading Medicare ACOs and a rapidly growing primary care medical group. The right candidate must have a strong passion for shaping healthcare and an entrepreneurial drive to make the impossible possible. This is not a traditional executive assistant role. There is no executive travel or expense reports. This is truly working as a right hand.
Roles and Responsibilities
- Completes a broad variety of administrative tasks including: composing and preparing correspondence that is often confidential; coordinating board, committee, staff, and strategic partnership meetings; drafting agendas and minutes; compiling documents for meetings, and creating "on brand" PowerPoint presentations.
- Coordinates social media, press, website, newsletters; works with printers; and often drafts the content of such communications.
- Researches and formulates new healthcare programs, working with involved stakeholders to gather and synthesize their unique views and suggestions into a cohesive program outline, timeline, and development plan with milestones and metrics.
- Plans, coordinates and ensures the President's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the President's time and office.
- Communicates directly, and on behalf of the President, with physician clients, Board members, staff, and others.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the President and internal departments; demonstrating leadership to maintain credibility, trust and support with staff.
- Plays key role in building company culture and value of the brand
- Works closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting communications, personal correspondence, and other tasks that facilitate the President's ability to effectively lead the company.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Supervises a part-time AA, and helps President with a limited, as needed personal assisting tasks
Qualifications
- Bachelor's Degree; Masters preferred
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and vendors
- Expert level written and verbal communication skills
- Polished and proven upward management skills
- Strong project management skills to track and report on various initiatives across the multiple companies
- Superior writing skills (minutes, policies and procedures, and press releases)
- Ability to create, organize and maintain a SharePoint filing system, complex Outlook filing system, as well as old-school paper files covering multiple companies and functions
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response

Education and Experience Requirements
- Bachelor's degree required; Masters preferred
- Strong work tenure: 7-10 years of experience supporting C-Level Executives, preferably in a corporate environment focused on service delivery such as healthcare
- Strong technical skills including Microsoft Office 365 (Outlook, Word, Excel, and PowerPoint), Social Media web platforms, and expertise with a project management software application
- Project Management skills (certification a plus but not required)
- Healthcare background with large physician organizations highly preferred
