Executive Assistant

Overview

I am a fractional CFO and entrepreneur overseeing a growing consulting firm alongside a diverse portfolio of real estate and business interests. This is a high-autonomy, high-trust role designed for a proactive operator who can create order in a high-velocity environment.

You will serve as the central hub for all professional and private operations, ensuring my time is optimized and assets are meticulously maintained while I am traveling or focused on high-level strategy.

Core Pillars of Responsibility

1. Executive Operations & Firm Administration (Primary Focus)

As the primary liaison for the firm, you own the administrative function. Your goal is to "manage up" - filtering noise, managing my inbox, protecting my calendar, and ensuring client deliverables move through the pipeline. You aren't just scheduling meetings; you are translating transcripts into actionable workflows, overseeing team deadlines in ClickUp, and refining the administrative SOPs that allow the firm to scale.

2. Real Estate Portfolio Management & Administration

You serve as the lead administrator and point of contact for a multi-state real estate portfolio. While you provide a physical presence for local assets, your core mandate is the high-level oversight of all properties. This includes managing the full lifecycle of remote administration: listings, lease execution, vendor procurement and accountability, expense management, and cross-state logistics. You ensure every asset, regardless of location, is performing, preserved, and prepared.

3. Lifestyle Logistics & Personal Systems

You bridge the gap between professional and personal efficiency. This involves overseeing household operations, managing personal bookkeeping, and coordinating complex travel/logistics resets. You are the "friction-remover," identifying potential stressors in my personal sphere and implementing systems to resolve them before they require executive attention.

  • The Systems Architect: You don't wait for a manual; you write it. You are tech-fluent and obsessed with optimization.
  • The Proactive Proxy: You can speak and make decisions on my behalf, maintaining a high standard of professional gatekeeping and communication.
  • The Local Anchor: Based in the Chattanooga area with the mobility to oversee local assets, yet capable of managing a multi-state administrative footprint from a laptop.

Requirements

  • 2+ years in Executive Support, Operations Management, or Portfolio Administration.
  • Advanced proficiency in project management software (ClickUp, or similar, preferred) and cloud-based ecosystems.
  • Valid driver’s license and reliable transportation for local site visits.
  • Successful completion of a criminal and credit background check.
