We are seeking a dynamic and highly organized Executive Assistant to join our team! Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and handling correspondence efficiently.
- Coordinate projects and events from planning through execution, including booking venues, arranging catering, and managing logistics to ensure successful outcomes.
- Oversee office management tasks such as filing, data entry, bookkeeping with QuickBooks, and maintaining organized records to support daily operations.
- Handle multi-line phone systems with professionalism and excellent phone etiquette; screen calls and direct inquiries appropriately.
- Assist with personal assistant duties as needed, including managing personal appointments or errands for executives.
- Facilitate communication across departments by organizing meetings, preparing agendas, taking minutes, and distributing follow-up actions promptly.
Experience
- Proven experience as an executive assistant or in a similar administrative role within an office environment.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Experience coordinating events or projects from inception to completion is highly desirable.
- Familiarity with bookkeeping software such as QuickBooks and basic office management procedures including filing systems and clerical tasks.
- Excellent typing speed combined with transcription skills; keen eye for proofreading documents for accuracy.
- Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently.
