Accounting Assistant

We are hiring for an Accounting Assistant to join our Accounting Team in Seattle!

Position Summary

As a member of the accounting team, the Accounting Assistant supports financial operations by managing vendor correspondence, processing invoices, and maintaining the Accounts Payable inbox. Assist with Accounts Receivable functions, including customer communications, collections, and payment processing. Coordinate major mailings, handle physical check deposits, and contribute to month-end reconciliations and audit preparation. Monitor autopay and aging reports to ensure timely collections and minimize outstanding balances. Provide general accounting support and assist with ad-hoc projects to improve processes and maintain operational efficiency.

This job is hybrid, much of the work is performed from your home, and with some in-person work 3-4 days per week or as needed in the office.

About the Position

Essential Responsibilities and Duties:

  • Daily management of the Accounts Payable inbox, responsible for accurately entering any new invoices into Intacct within 24 business hours of receipt and printing and mailing physical checks every week.
  • Accounts Receivable duties which include: main phone and email contact, answering member questions daily and with excellent customer service, regarding their account on both the accounting phone line and accounts receivable inbox; responding to the member within 24 business hours, weekly processing of dunning messages in Intacct, daily physical check deposits and posting receipt entries, and weekly preparation of AR aging report for Leadership team.
  • Calculate and file Business & Occupation (B&O) tax returns in compliance with local regulations, ensuring timely and accurate submission.
  • Oversee the Corporate Purchase Card program, ensuring compliance with company policies and accurately preparing related journal entries.
  • General accounting support including various month-end reconciliations to be completed within the month-end close schedule in FloQast, and with accuracy.
  • Daily monitoring of USPS dashboard for incoming mail. Complete in-office visit on all days where actionable mail is received. Notify other departments when they receive mail and where stored
in office.
  • Light housekeeping tasks while in the office. This includes emptying the trash and recycling, wiping down desktops and other surfaces, and dusting and vacuuming. Tasks should be performed daily or as needed.
  • Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

Additional Responsibilities:


  • Coordinate major mailings including printing, collating, labeling, etc.
  • Correspond with new vendors to obtain required tax documentation (W9 forms, banking information/preferred payment data)
  • Maintenance of member auto-pay data as changes are received, both for ACH and credit card

Essential Qualifications for the Role:

  • Attention to detail, organization skills, with an ability to maintain accuracy while handling multiple projects
  • Demonstrated customer service work history responding promptly to customer needs

Professional and comfortable speaking on the phone and in person to individuals at all levels

  • Working knowledge and understanding of ERP ledgers and subledgers

Education and Experience: (Indicate if experience can replace education and how much is needed)

  • Required: Minimum 2 years' experience in a business environment related to AR/AP or general bookkeeping.
  • Preferred: 2-year degree or additional academic credit or credentials preferred

Technical Skills:

Required: Excellent MS Office Suite experience, particularly Outlook, Word, Excel

The complete salary range for this position is $22.71/hour to 34.07/hour with a hiring range of $25.55 to $31.23 per hour.
