Position Title: Executive Assistant
Department: Veritas Management Group
Location: Full-Time | On-Site (New Orleans, LA Area)

Summary

Veritas Management Group (VMG) is seeking a highly organized and professional Executive Assistant to provide full-time executive, operational, and project support to senior leadership supporting Gulf Coast Ecosystem Restoration Council.

This position provides high-level administrative support to executive leadership, serving as a primary liaison across internal staff and external stakeholders. The Executive Assistant exercises sound judgment, discretion, and initiative while managing complex schedules, coordinating travel, supporting meetings, and assisting with administrative and financial processes.

This is a full-time position (40 hours per week).

Essential Duties and Responsibilities

Executive Support Functions

  • Manage executive and agency calendars, including milestone tracking and meeting coordination

  • Schedule meetings, prepare agendas, and coordinate follow-up actions

  • Coordinate and support Council meetings, including scheduling across federal and state officials

  • Provide travel coordination using government travel systems, including complex itineraries

  • Provide meeting support, including note-taking and hybrid meeting setup (AV support)

  • Assist with FOIA-related administrative coordination

  • Plan and coordinate executive-level events and distribute meeting materials

  • Maintain office supply inventory and workspace organization

Purchase Card & Administrative Support

  • Coordinate procurement requests and manage purchase documentation

  • Track approvals, receipts, and credit card documentation

  • Develop and maintain the annual training plan

  • Monitor training compliance and maintain completion records

    Provide general administrative and compliance support

    Education and/or Experience Required:

  • Bachelor’s degree in office administration or related field

  • Minimum two (2) years of experience supporting senior or executive leadership

  • Experience managing complex calendars and coordinating executive travel

  • Strong written and verbal communication skills

  • Experience with file and records management

  • Proficiency with business software and Google Workspace (GSuite)

  • Ability to handle sensitive and confidential information with discretion

Preferred:

  • Experience supporting federal or government-affiliated organizations

  • Experience supporting executive-level procurement and financial documentation

  • Ability to prioritize and manage multiple projects simultaneously

  • Professional demeanor and diplomatic communication style

  • Ability to interpret procedural guidance and follow established policies
