We are looking for a highly organized and proactive Executive Assistant to support a senior official in Finance division. The role requires someone with a strong administrative background along with sound financial understanding to assist in reviewing payment requests, coordinating financial documentation, and managing daily schedule.
The ideal candidate should be detail-oriented, trustworthy, and capable of handling sensitive financial information while ensuring smooth coordination between the finance team and senior management.
Key Responsibilities
Executive Support

Manage and maintain the calendar, including scheduling meetings, appointments, and travel arrangements.

Coordinate internal and external meetings, prepare agendas, and ensure all required documents are available in advance.

Handle confidential correspondence, reports, and communications on behalf of the Senior official.

Act as a point of coordination between the Senior official and internal departments.
Financial Coordination

Review and verify payment requests, invoices, and financial documentation before submission to the Senior official for approval.

Ensure all supporting documents and approvals are in place prior to financial authorization.

Assist in tracking payment approvals and maintaining proper documentation records.

Coordinate with the finance team regarding financial submissions, vendor payments, and related documentation.

Support the Senior Official with preparation of financial reports, summaries, and presentations when required.
Administrative Support

Maintain organized records of financial and administrative documents.

Assist with preparing reports, presentations, and briefing materials for meetings.

Monitor follow-ups on key actions, approvals, and deadlines.

Support special projects and tasks assigned by the Senior official.
Requirements

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

Minimum 5+ years of experience as an Executive Assistant or Personal Assistant in a corporate environment, preferably supporting senior leadership.

Prior exposure to finance-related documentation, payment verification, or accounting processes is essential.

Strong organizational skills with high attention to detail.

Ability to handle confidential information with discretion.

Proficiency in Microsoft Office (Excel, PowerPoint, Outlook).
