We are seeking a highly organized and proactive Executive Assistant to support senior leadership at our Burlington, New Jersey facility. This role provides strategic administrative and operational support that goes beyond traditional administrative support. We are seeking a systems-minded professional who can help design and improve workflows, leverage technology to automate routine processes, and bring structure and efficiency to executive and operational activities. The ideal candidate will bring an operational mindset in terms of process improvement, operational clarity, and scalable systems that allow leadership teams to work more effectively.

What our Executive Assistant will be accountable for at QPSI ?

  • Serve as a strategic operational partner to leadership while managing multiple projects, timelines, and competing priorities on key initiatives and action items.
  • Provide proactive executive support including complex calendar management, travel coordination, meeting preparation, and prioritization of daily activities.
  • Leverage technology and productivity tools to streamline administrative processes, automate routine tasks, and improve collaboration across teams.
  • Support the development of operational playbooks, documentation, and standardized processes that help teams execute work more consistently and efficiently.
  • Prepare executive presentations, reports, agendas, and communications with a high level of accuracy, clarity, and professionalism.
  • Coordinate leadership meetings, executive offsites, and company events, including logistics, materials, and follow-up actions.
  • Continuously identify opportunities to improve administrative workflows, documentation practices, and operational processes.

What qualified candidates must have to be successful at QPSI ?

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Minimum 5 years of experience providing senior/executive leadership support
  • Strong operational mindset with the ability to organize complex information, structure processes, and improve workflow efficiency.
  • Demonstrated experience using technology, automation tools, or collaboration platforms to streamline workflows and improve operational efficiency.
  • Proven ability to manage competing priorities, pivot quickly, and remain organized in a dynamic, fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to draft professional correspondence, reports, and presentations.
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • High level of professionalism, discretion, and sound judgment when handling confidential information.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with project management or collaboration tools.
  • Strong interpersonal skills with the ability to coordinate across departments and build effective working relationships with leadership, internal teams, and external partners.
  • Ability to work independently, anticipate needs, and proactively resolve issues before they impact operations.

Pay: $65,000.00 - $75,000.00 per year
