The Motion Picture Association (MPA) is seeking a highly organized and detail-oriented Executive Assistant (“EA”) to provide high-level administrative support and project management duties to t(1) the Managing Director & SVP, Rights Management Policy located in Washington, DC and (2) administrative support to other team members of MPA’s Rights Management (RM) group including in particular the international RM team. The EA will have dual reporting responsibilities to the Managing Director and SVP Rights Management and the Director International Royalty Distribution.
The EA will be responsible for managing calendars and scheduling, booking domestic and international travel, creating budgets and trip reports through Brex, coordinating meetings, handling confidential information and professional correspondence, filing and archiving international Rights Management reporting through MPA’s RM SharePoint portal, and updating Outlook distribution lists. The EA will perform other projects and tasks as assigned. The ideal candidate must be detail-oriented, high-energy, resourceful, have problem solving aptitude and be capable of multitasking. The EA must be proactive, with the ability to maintain confidentiality, while navigating diverse responsibilities, including calendar management, communication coordination, and special projects.
This position is non-exempt hourly with compensation of $45 per hour depending on years of experience.
Scheduling & Planning:

Manage scheduling and calendaring which includes internal and external stakeholders and contacts.

Plan and coordinate travel, travel itineraries, including international travel logistics, and meeting/event coordination support.

Collaborate with other internal team members on work priorities.

Draft, process, file and maintain correspondence, messages, and other documentation with the highest caliber of written and oral communication skills.

Prepare, submit, and track budget/trip creation and expense reports in Brex, maintain records, and coordinate approvals of reports with accounting.

Prepare clear and well-written communications for a wide range of audiences within the MPA and outside recipients such as studio executives, governmental contacts, and other external contacts.

Other projects and tasks as assigned.
Resource Management

Assist in archiving MPA reports, documents and MPA Members’ filings, also via MPA’s SharePoint portal for Rights Management.

Assist in tracking MPA members’ filings with external organizations.

Update contact lists and shared department resources (e.g., SharePoint libraries and folders).
Relationship Management:

Develop professional relationships with key internal and external contacts, including but not limited to executive assistants of studio members and rights holders.

Maintain and manage contact lists and Outlook email distribution lists for departments, member studio representatives, and key external constituents.
Education and Experience Requirements

Bachelor’s degree required.

Experience supporting C-suite executives.

Proficiency with MS applications, especially Excel and SharePoint, is preferred.
