Job Description
Government non-profit agency looking for a professional Executive Assistant to provide high level administrative support to OkMRF Executives and Trustees, coordinate travel, schedule appointments, manage calendar, prepare mailings and handle confidential information to support and maintain the Oklahoma Municipal Retirement Fund (OkMRF) Trust that provides a 401(a) defined benefit (DB) and defined contribution (DC) retirement system with over 260 municipal relationships across Oklahoma.
Key Responsibilities
- Directly supports Executive Director and assists Chief Investment Officer and Chief Financial Officer, as needed.
- Retrieves mail and processes all incoming and outgoing mail from/to OkMRF Members.
- Posts daily deposits for upload to trust deposit accounts.
- Supports OkMRF Staff by performing clerical administrative duties.
- Maintains events on master calendar and schedules meetings.
- Coordinates and assembles Board agenda packet and minutes.
- Assists with payment of Trust administrative expenses.
- Prepares for Board & Committee meetings.
- Maintains mailing lists for all Members, Vendors, and Contacts.
- Maintains Trustee file records.
- Responsible for overall office support for administrative services such as inventorying/ordering supplies.
- Performs other duties as assigned.
Qualifications
- Strong attention to detail and accuracy
- Excellent communication and customer service skills
- Ability to manage multiple tasks and maintain confidentiality
- High School diploma with a preference to individuals with at least two (2) years’ applicable experience. Other applicants would be taken under consideration with a combination of education and applicable clerical experience
