Key Responsibilities

Manage complex calendars for multiple executive leaders, including scheduling internal and external meetings

Coordinate meeting logistics, including Board of Director meetings, and ensure executives are prepared with the right materials

Prioritize scheduling requests and help executives manage competing priorities

Serve as a reliable point of coordination between executives, teammates, and external contacts

Coordinate domestic and international travel, including flights, hotels, and itineraries

Prepare detailed travel agendas and ensure executives have the information they need

Process and reconcile expenses in Concur in a timely and accurate manner

Coordinate leadership meetings and assist with meeting logistics when needed

Support preparation of presentations, documents, and reports

Maintain organized files and shared documents in SharePoint or other internal systems

Help track action items and follow-ups from key meetings

Support the Executive Assistant to the CEO manager on larger projects such as leadership meetings, offsites, or board preparation

Handle confidential and sensitive information with professionalism and discretion

Provide backup support to the Executive Assistant to the CEO when necessary
Qualifications and Required Experience

6–8 years of administrative or executive support experience

Strong calendar management and scheduling experience across multiple leaders

Experience coordinating travel and processing expenses

High attention to detail and strong organizational skills

Ability to manage multiple priorities and shifting deadlines

Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)

Experience using expense management tools such as Concur

Familiarity with collaboration tools such as SharePoint

Basic familiarity with AI tools and emerging technologies, with a willingness to use them to improve efficiency, organization, and day-to-day administrative support.
Salary range: $85,000 - $100,000 per year
