The Executive Assistant will play an integral role in supporting the leadership of Capital Digestive Care. In addition to being organized and having the ability to manage multiple tasks, you possess the strong business acumen and communication skills needed to interact with a variety of people and job functions. To be successful in this position, your work schedule will reflect being available to work periodic evenings during the month.

What you’ll be working on:

  • Ensure processes and administrative infrastructure are in-place to support operational excellence.
  • Responsible for coordinating and facilitating cross-functional meetings including scheduling, sending reminders and organizing various support functions (e.g., catering and hotels when necessary). Will also assist with the defining of objectives, agendas, project charters, etc. and constantly looking for ways to improve the operational cadence of the group.
  • Managing the executive team’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Perform as team lead for physician member advancements.
  • Assist with coordinating board activities with key contacts with the management service organization.
  • Proactively ensuring that all relevant teams and stakeholders are up to date and working effectively by adhering to best practices for communication and documentation.
  • Support initiatives by coordinating and tracking timelines, milestones, and statuses, and escalating issues as needed.
  • Work closely with key business stakeholders to identify areas for improvement and customer-specific solutions.
  • Oversee and maintain the contract repository to ensure timely tracking of key terms, renewals, and critical deadlines.

Qualifications:

  • A successful applicant must be legally authorized to work in the United States without sponsorship.
  • Bachelor’s degree preferred
  • Minimum of 3 years of management experience in a position that required coordination across multiple stakeholders; healthcare experience is a plus.
  • Strong project management and time management skills.
  • Ability to manage multiple tasks and possess strong analytical skills.
  • Detail-oriented with the ability to oversee projects from origin through execution.
  • Computer proficiency in MS Office Suite.
  • Work independently as well as in a team environment.
  • Strong verbal and written communication skills with patients, co-workers and providers.
  • Compassion for patient needs and a high degree of professionalism.

Pay: $80,000.00 - $90,000.00 per year
