Executive Assistant

PRIMARY FUNCTION:

Provide administrative support to President/CEO and Vice President(s)

ESSENTIAL DUTIES:

1. Type, maintain and file a variety of highly confidential documents. Set up and maintain sophisticated filing systems, supervisor’s personal files, etc. Use of MS SharePoint File system is necessary.

2. Maintain and communicate various marketing data and information as requested by the Pres/CEO

3. Screen phone calls/solicitors per instructions; handle routine items, pass others on to supervisors.

4. Sort and prioritize incoming external and internal mail. Distribute and/or handle items as directed.

5. Compose correspondence for supervisor’s signature as directed.

6. Maintain supervisor’s calendars; schedule/confirm meeting dates, etc. Arrange travel, hotel, car reservations and prepare itineraries.

7. Assume secretarial responsibility for other executives as necessary.

8. Perform additional assignments per supervisor’s direction.

9. Make travel arrangements and itineraries for company business travel for all employees as needed.

10. . Plan corporate functions such as the Managers’ Meeting, company picnic, and/or Christmas party.

11. Code Expense Reports, Credit Cards, Receipts, etc. Work with accounting to ensure payment.

12. Tracking employee certification(s) in the Vista HR Portal.

13. Maintain a mileage log for Pres/CEO

SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE:

Educational and experience requirements include: 1-2 years business/secretarial school or equivalent combination of training and experience. Minimum 5 years’ secretarial and administrative experience. Advanced knowledge of general business and company procedures. Proficient typing (65-70 WPM) and a high degree of organizational skills required. Must be familiar with Microsoft Word, Excel, PowerPoint., Teams, Outlook, InDesign and Vista experience is a plus. Excellent communication and interpersonal skills essential. Ability to maintain confidentiality at all times is critical..
